JOB PURPOSE


Triton Poker is seeking a highly organized and results-driven Event Admin to lead the planning and execution of our world-class festivals. This role requires to be detail oriented, with experience in event management support. The successful candidate will thrive in both structured office-based preparation and potential event travels.


The Event Administrator supports the Event Operations team in delivering Triton events by handling coordination, documentation, and administrative tasks across pre-event planning, on-site execution, and post-event follow-up. This role ensures operational processes run smoothly and information is accurately managed.


KEY RESPONSIBILITY


1. Event Planning & Coordination

  • Support preparation of event timelines, checklists, and operational documents.
  • Assist in coordinating with vendors, venues, and internal departments.
  • Track task progress and follow up on outstanding items.


2. Documentation & Admin Support

  • Maintain accurate records of budgets, quotations, invoices, and approvals.
  • Organize and update operational files (Google Drive / Notion / internal systems).
  • Prepare meeting notes and track action items.


3. Logistics & Inventory

  • Support coordination of event equipment, shipments, and inventory tracking.
  • Assist in packing lists, delivery schedules, and warehouse coordination.
  • Ensure materials are accounted for pre- and post-event.


4. On-site Event Support

  • Provide administrative and coordination support during live events.
  • Assist with registration setup, staff coordination, and operational tasks.
  • Support issue tracking and communication between teams.


5. Post-Event & Reporting

  • Assist in collecting data for post-event reports and reconciliations.
  • Track expenses and support petty cash documentation.
  • Support post-event reviews and documentation updates.


JOB REQUIREMENTS:

  • 1–3 years’ experience in events, operations, or admin support.
  • Strong organizational and coordination skills.
  • Detail-oriented with ability to manage multiple tasks.
  • Proficient in Microsoft Office / Google Workspace.
  • Able to work under pressure and adapt in fast-paced environments.
  • Willing to travel and work flexible hours during events.


Preferred:

  • Experience in live events, hospitality, or entertainment industry.
  • Familiarity with inventory/logistics coordination.
  • Experience supporting large-scale or international events.


What Success Looks Like:

  • Tasks are completed accurately and on time.
  • Information is well-organized and easily accessible.
  • Minimal follow-ups required from managers.
  • Strong support to the Event Ops team during live events.
