Job Summary
This role supports sales operations and logistics coordination by managing order processing, shipping documentation, customer account management, and ensuring compliance with shipping procedures to drive efficient sales and delivery outcomes.
Responsibilities
- Manage end-to-end sales processes including preparing quotations, processing orders, arranging deliveries, and invoicing to ensure smooth transaction flow
- Follow up on customer enquiries and quotations to support order growth and customer satisfaction
- Build and maintain strong relationships with customers to foster loyalty and repeat business
- Prepare and manage accurate shipping documentation such as delivery orders, packing lists, and commercial invoices to facilitate timely shipments
- Coordinate shipment arrangements with freight forwarders to ensure on-time delivery
- Ensure compliance with Incoterms and shipping procedures to minimize risks and delays
- Monitor customer payments and proactively follow up on overdue invoices to maintain healthy cash flow
- Prepare sales reports and support sales-related activities including exhibitions and events to enhance business development
- Perform other ad-hoc duties as assigned to support team objectives
Required competencies and certifications
- Minimum Diploma qualification
- At least 5 years of relevant experience in sales operations, order processing, and logistics coordination
- Proven ability to manage end-to-end sales processes effectively
- Knowledge of Incoterms and international shipping processes to ensure compliance
- Proficient in Microsoft Office applications (Excel, Outlook, Word, PowerPoint) for reporting and communication
- Strong written and verbal communication skills in English for clear customer and team interactions
Preferred competencies and qualifications
- Proficiency in Japanese language (written and spoken) is an added advantage to support communication with Japanese-speaking partners
