Role Description This is a full-time, on-site Event Assistant role based in Petaling Jaya. The Event Assistant will support the planning and execution of events by coordinating schedules, preparing materials, and assisting with venue setups and breakdowns. Responsibilities include liaising with vendors and suppliers, handling guest inquiries, and providing on-site support during events to ensure smooth operations. The role involves maintaining accurate records, updating event timelines, and assisting with documentation such as checklists, run sheets, and post-event reports. The Event Assistant will collaborate closely with the event management team, contributing ideas, helping solve operational issues, and ensuring all tasks are completed on time and to quality standards.

Qualifications

  • Strong Event Planning and Event Management skills, with the ability to support logistics, timelines, and on-site coordination.
  • Excellent Customer Service and Communication skills to interact professionally with clients, guests, vendors, and team members.
  • Solid Organization Skills, including attention to detail, time management, and the ability to handle multiple tasks in a fast-paced environment.
  • Ability to work on-site, including evenings, weekends, and public holidays as required by event schedules.
  • Proficiency in basic office software (e.g., email, spreadsheets, word processing); familiarity with event tools is an advantage.
  • Team-oriented mindset, reliability, and a positive, solution-focused attitude under pressure.
  • Previous experience in events, hospitality, or customer-facing roles is preferred but not mandatory.
  • Relevant diploma or degree in Events Management, Hospitality, Communications, or a related field is an advantage.
