About the role
To oversee and strengthen the administrative functions across headquarters, commercial office, and plants, with a special focus on backlog clearance and audit readiness for USFDA, GMP, and NPRA requirements. The role ensures streamlined administrative processes, cost efficiency, compliance with policies and regulations, and effective team and vendor management. Additionally, the role supports the Administration Manager in budget management and provides advisory oversight for Executives.
Key Responsibilities:
1. Audit & Compliance Readiness (USFDA, GMP, NPRA & Internal Audits)
- Clear any administrative backlogs impacting regulatory and business audits
- Ensure strict compliance with USFDA, GMP, NPRA, and internal audit requirements, including documentation, SOP adherence, and audit trail completeness
- Oversee the timely, accurate, and compliant management of business licenses, statutory renewals, and regulatory submissions in accordance with applicable laws, regulations, and internal governance requirements
- Drive effective implementation and compliance of the document management system
- Support preparation and follow-up on audit observations, ensuring corrective/preventive actions
2. Budget Management & Financial Oversight
- Assist the Senior Associate Manager, Administration in preparing, managing, and monitoring the administration budget for Corporate, Commercial offices and manufacturing sites
- Provide advisory input to Senior Executives to ensure financial prudence in their respective portfolios
- Identify gaps in administrative expenses, invoices, reimbursements, and coordinate with Finance for accurate due diligence, processing and reporting
- Ensure procurement and office supplies management are aligned with budgetary constraints
3. Operational Excellence
- Ideate and co-lead with Senior Associate Manager, Administration on overarching administrative procedures and systems to streamline processes, minimize delays, and enhance efficiency
- Conduct random spot checks and compliance reviews on gemba walk records to ensure proper monitoring and adherence in the areas of office services, facilities management, workplace hygiene, canteen operations, as well as waste and laundry management
- Supervise plant visits and employee engagement activities handled by Senior Executives
- Work with IT on any future automation projects for Admin Department
4. Vendor, Stakeholder & Event Management
- Oversee vendor qualification, contract renewals and negotiations to optimize cost efficiency and service quality
- Facilitate smooth and effective communication across departments to support business operations
- Represent Admin Department in business conferences, plant visits, and official company events in collaboration with cross-functional teams
- Ensure company-wide events, visits, and engagements meet professional, compliance, and hospitality standards
5. Team Leadership & Development
- Provide guidance and operational advisory to Senior Executives, ensuring role clarity, workload management, and performance delivery.
- Facilitate training & development sessions for the administrative team and third-party workers (cleaners, lab boys, process assistants, security, gardeners, etc.).
- Oversee training and orientation sessions conducted by Executives, ensuring consistency, compliance, and quality.
- Prepare consolidated reports and presentations on administrative activities for Senior Management.
6. Ad Hoc & Continuous Improvement
- Support continuous improvement initiatives to modernize administrative processe
About you
- 5 to 7 years of related experience in general administration functions preferably in Good Manufacturing Practices (GMP) environment.
- Demonstrated strong coordination and collaboration skills through effective teamwork and clear communication.
- Strong team management and multitasking abilities.
- Detail-oriented with strong problem-solving and cost management mindset.
- High level of integrity and professionalism.
- Adaptable to changing priorities and able to manage multiple stakeholders effectively.
- For plant administration, must be willing to work in Bandar Enstek, Negeri Sembilan.
