About the role

We are seeking an ESH Project Assistant to join our team in Johor Bahru, Johor. This is a full-time position that plays a crucial supportive role in the successful delivery and management of Environment, Safety and Health (ESH) projects within our organisation. As an ESH Project Assistant, you will provide essential administrative and organisational support to ensure projects run smoothly, deadlines are met, and all stakeholders remain informed. This role is vital in maintaining the administrative backbone of our ESH initiatives and ensuring compliance with health and safety standards across all project activities.

Key responsibilities

  • Providing comprehensive administrative support to ESH project teams, including scheduling meetings, preparing agendas, and distributing project communications

  • Maintaining detailed project records, documentation and filing systems to ensure all ESH project information is organised and easily accessible

  • Assisting with the preparation of project reports, presentations and status updates for management and stakeholders

  • Co-ordinating meetings and site visits, arranging logistics and ensuring all necessary documentation is available and distributed

  • Supporting the tracking of project timelines, milestones and deliverables to ensure projects remain on schedule

  • Support project manager in preparing project documentation, reports, schedules, and records.

  • Assisting with the collection and compilation of data related to ESH project activities and outcomes

  • Supporting the maintenance of compliance documentation and ensuring all ESH project records meet regulatory requirements

  • Providing general administrative support including correspondence, data entry and document management

  • Provding support for tasks related to industrial hygiene (CHRA, NRA, CEM, LEV, ERA)

  • Coordinating training activities under HRDC, including course registration, development of training outlines and document preparation for grant applications.

What we're looking for

  • Posses degree / diploma in Occupational Safety and Health / Environment Science / Chemical Engineering . Science or equivalent Proven experience working as an Administrative Assistant or in a similar administrative support role

  • Strong organisational and time management skills with the ability to manage multiple tasks and priorities effectively

  • Excellent written and verbal communication skills in English, with the ability to communicate clearly with diverse stakeholders

  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook

  • Demonstrated ability to maintain accuracy and attention to detail when managing documentation and records

  • Proactive attitude with the ability to work independently and as part of a team

  • Familiarity with ESH concepts or experience in a health and safety environment is highly desirable

  • Knowledge of project management principles or exposure to project-based work is advantageous

  • Autocad basic knowledge will be an additional plus point
