The HR & Admin Executive is responsible for managing all human resource functions and administrative operations to ensure the smooth daily running of Dr Farid Medical Clinic.
The role includes recruitment, payroll, staff welfare, performance management, training coordination, company documentation, and ensuring compliance with labour laws and clinic policies.
Key Responsibilities
1. Recruitment & Staffing
Prepare job advertisements
Screen resumes and shortlist candidates
Schedule interviews
Conduct reference checks
Prepare employment offers
Coordinate onboarding for new staff
Maintain manpower planning
KPI
Fill vacancies within 30 days
Staff turnover below target
2. Employee Records
Maintain employee files
Update contracts
Monitor probation periods
Keep confidential HR records
Maintain leave records
3. Payroll & Benefits
Prepare monthly payroll
Calculate overtime
Calculate incentives and commissions
Process EPF, SOCSO, EIS
Process annual leave and medical leave
Ensure payroll accuracy before submission.
4. Attendance Management
Monitor staff attendance
Track lateness and absenteeism
Prepare attendance reports
Investigate attendance issues
5. Performance Management
Coordinate KPI evaluations
Monitor staff performance
Conduct performance reviews
Issue warning letters when necessary
Recommend promotions or disciplinary actions
6. Staff Training
Organise orientation programmes
Coordinate internal training
Maintain training records
Monitor staff competency

Conduct investigations
Prepare show cause letters
Maintain disciplinary records
Coordinate domestic inquiries where necessary
11. HR Reporting
Prepare monthly reports on:
Headcount
Staff turnover
Recruitment status
Payroll summary
Leave utilisation
Overtime
Training hours
Staff performance
Disciplinary cases
Administrative Responsibilities
Manage incoming correspondence
File and archive documents
Coordinate meetings
Prepare meeting minutes
Handle company assets register
Coordinate vendor appointments
Manage tenancy and service agreements
Qualifications
Diploma or Degree in Human Resource Management, Business Administration or related field
Minimum 2 years HR/Admin experience
Experience in healthcare
