Company Description Kong Kim Leng & Co. is a general legal practice based in Kajang, Selangor, serving clients in conveyancing, banking, property and commercial development. Team members work closely with lawyers and support staff to deliver timely and accurate legal documentation and services. The firm offers a professional environment where administrative staff play a key role in the smooth operation of daily legal work.

Role Description This is a full-time, on-site Administrative Assistant role based in Kajang. The Administrative Assistant will manage day-to-day office operations, including handling phone calls, greeting visitors, and managing incoming and outgoing correspondence, and updating records and databases. The role will support lawyers and senior staff with clerical and executive administrative tasks such as tracking deadlines, arranging couriers, and coordinating document signing. The Administrative Assistant will also assist in basic data entry, photocopying, scanning, and ensuring office supplies and equipment are adequately maintained.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including filing, data entry, document preparation, and schedule coordination.
  • Professional Phone Etiquette and Communication skills for interacting with clients, colleagues, and external parties in a courteous and clear manner.
  • Experience in Executive Administrative Assistance, such as supporting senior staff with calendar management, meeting coordination, and follow-up tasks.
  • Ability to work accurately and efficiently in a fast-paced office, with strong attention to detail and time management.
  • Proficiency with basic office software (e.g., word processing, spreadsheets, email) and willingness to learn firm-specific systems.
  • Secondary school qualification or higher; a diploma in business administration, office management, or a related field is an advantage.
  • Prior experience in a legal firm or professional services environment is beneficial but not mandatory.
