About the Role

Key Responsibilities

1. HR Documentation & Policy Management

  • Prepare, manage, and store paperwork for HR policies, procedures, and employment contracts (including NDAs).

  • Draft and issue payroll and administrative letters or memos (annual or ad-hoc) as directed by superiors.

  • Serve as the main point of contact for employee inquiries regarding company policies and HR information.

  • Assist in monitoring, updating, and maintaining comprehensive records of all HR and company policies.

2. Leave, Attendance & Record Management

  • Manage employee leave requests, tracking entitlements, and compiling supporting documents (MC, hospitalization, maternity, compassionate leave, etc.) into the leave report.

  • Monitor and update daily attendance data within the system, collaborating closely with the Talent Team.

  • Maintain highly accurate, up-to-date digital and physical employee personnel files, including personal information, employment history, and performance records.

3. End-to-End Payroll & Statutory Compliance

  • Execute accurate and timely monthly payroll processing, managing both manual tracking (Excel) and the payroll system.

  • Identify and calculate all monthly additions, deductions, and handle ad-hoc payroll tasks.

  • Ensure full corporate compliance with Malaysian statutory bodies, managing submissions for EPF, SOCSO, EIS, LHDN (PCB), and ensuring alignment with the latest OSHA guidelines.

4. Compensation, Benefits & Claims

  • Process, verify, and finalize end-to-end staff claims, including travel reimbursements, medical expenses, and operations-related costs.

  • Manage employee compensation and benefits packages (salaries, bonuses, and yearly medical entitlements).

  • Assist in developing and maintaining the employment budget accounting for overall personnel costs.

5. Employee Relations, Discrepancies & Domestic Inquiries (DI)

  • Monitor and handle conflicts or discrepancies between employee goals and the organizational vision.

  • Manage proper workplace investigation processes, providing coaching and support to both managers and employees.

  • Implement corrective action plans and disciplinary actions when necessary, ensuring complete fairness and consistency.

  • Oversee the end-to-end Domestic Inquiry (DI) process, staying updated on the latest HR procedures, consulting with legal experts, and strengthening the company's employment framework.

6. Administration & Ad-Hoc Tasks

  • Oversee and handle ad-hoc administrative duties as assigned by Company Directors or senior management.

Requirements & Qualifications

  • At least 2–3 years of hands-on experience in Human Resources and Administration.

  • Bachelor’s degree in Human Resources, Organizational Development, Education, Business Administration, or a related field.

  • Solid, up-to-date knowledge of Malaysian Labor Laws (Employment Act 1955), Industrial Relations (IR), and regulations.

  • Proficiency in SQL or InfoTech payroll systems is highly preferred.

  • Prior experience handling HRD Corp (HRDF) grant and claim applications, or working within the education sector, is a strong advantage.

  • A proven history of building strong professional relationships and establishing credibility across all levels of an organization.
