The Operations Executive serves as a key operational support and execution lead, acting as the direct right-hand to the Operations Manager in managing daily yard, warehouse, logistics, and technical coordination activities.
This role is responsible for ensuring end-to-end operational execution, including manpower coordination, shipment control, documentation accuracy, and cross-department alignment.
The position plays a critical role in driving On-Time In-Full (OTIF) delivery, operational efficiency, cost control, and compliance, while supporting decision-making, execution planning, and real-time problem resolution.
The Operations Executive is expected to take ownership of operational flow, anticipate risks, and ensure continuity of operations, especially during high workload, critical jobs, and client-driven timelines.
Responsibilities:
1. Operational Execution & Control
Support Operations Manager in daily planning, execution, and monitoring of all operational activities
Act a central coordination point between Production, Technical Service, Warehouse, Yard, and Logistics
Ensure all operations are executed as per plan, timeline, and priority
2. Manpower & Resource Coordination
Plan and coordinate manpower deployment across departments based on workload and priority
Monitor manpower utilization, productivity, and overtime (OT) requirements
Ensure optimal allocation of resources to achieve operational efficiency
3. Shipment & Logistics Management
Oversee shipment planning, coordination, and execution to ensure on-time delivery (OTIF)
Coordinate with logistics providers, transporters, and internal teams for smooth dispatch
Monitor shipment status and resolve delays or issues proactively
4. Documentation & System Control
Ensure accuracy and completeness of all operational and shipping documentation
Monitor SAP transactions for goods movement, shipment processing, and inventory updates
Maintain proper records for reporting, audit, and compliance purposes (LMW & Etc)
5. Inventory & Warehouse Coordination
Work Closely with Warehouse Team to Ensure Stock Readiness and Accuracy
Support Inventory Control, Stock Movement, And Discrepancy Resolution
Ensure Proper Material Flow from Receiving to Dispatch
6. Problem Solving & Continuous Improvement
Identify Operational Gaps, Delays, Or Inefficiencies and Implement Corrective Actions
Support Root Cause Analysis for Operational Issues and Drive Improvement Initiatives
Propose Process Improvements to Enhance Productivity, Reduce Cost, And Improve Delivery Performance
7. Stakeholder Coordination
Coordinate With Internal Departments (Sales, QAQC, HSE, Finance) For Operational Alignment
Act As Key Liaison Between Operations Team and Management
Provide Timely Updates and Reports on Operational Status, Risks, And Performance
8. Compliance & Safety
Ensure All Operations Comply with Company Procedures, HSE Policies, And IMS Standards
Support Safe Execution of Yard and Operational Activities
9. Reporting & Management Support
Prepare Daily, Weekly, And Monthly Operational Reports
Support Operations Manager in Data Analysis, Planning, And Decision-Making
Assist In Strategic Planning and Execution of Major Operational Activities
10. General Responsibilities
Carry Out Any Additional Duties Assigned by Management
Act As Backup and Operational Lead in The Absence of Operations Manager When Required.
