The Administrative Assistant provides administrative, operational, and customer service support to both the company headquarters and salon outlets. The role ensures smooth daily operations by coordinating schedules, managing records, handling communications, supporting staff, and assisting with outlet administration.
Key Responsibilities
Provide administrative support for daily business operations
Manage and organize documents, reports and company records
Maintain proper filing systems for company records
Monitor beauty products and treatment stock levels
Audit stock in and stock out for products and supplies at centre/CRM System
Arrange and coordinate maintenance for clinic/salon facilities
Schedule regular servicing and preventive maintenance for equipment and facilities
Monitoring, maintaining and arranging servicing of the condition of beauty machines and treatment equipment
Maintain and track warranty records for beauty equipment and machines
Update management on maintenance status and costs
Verify and invoice checking for invoices received from suppliers for accuracy (price, quantity and details)
Record and organise invoices properly for documentation and payment processing.
Maintain proper filing of invoices for audit and record purposes.
Requirements
Diploma or Bachelor’s Degree in Business Administration, or related field
Min. 1-2 years working experience in a relevant field, preferably Admin. Assistant or similar support role.
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Strong organizational and time-management skills
Good attention to detail when handling data and records.
Good communication and interpersonal abilities.
Ability to multitask and work in a fast-paced environment.
Willing to travel outstations and work overtime (OT) when required.
