Responsibilities

Job Responsibilities
  • Support tenancy administration for new stores, renewals, relocations, revamps, and landlord-initiated works.

  • Prepare, organize, and maintain tenancy-related documents including Letters of Offer, tenancy agreements, deposits, and commercial terms.

  • Coordinate with landlords on tenancy submissions, documentation requirements, and follow-up matters.

  • Monitor tenancy timelines including handover dates, fit-out periods, and possession schedules.

  • Ensure proper filing and safekeeping of physical and digital tenancy records.

  • Assist with Tenaga Nasional Berhad (TNB) applications including new connections, upgrades, relocations, and meter-related matters.

  • Handle water supply applications with relevant authorities for new, relocated, and revamped stores.

  • Coordinate with landlords, contractors, and utility providers to ensure timely approval, installation, and activation of utilities.

  • Track submission progress and follow up on outstanding utility-related requirements.

  • Act as the main coordination point for landlord submissions related to building plans, utilities, and statutory approvals.

  • Communicate with landlords regarding submission status, timelines, and pending documentation.

  • Support landlord-requested works and ensure compliance with MYNEWS design and operational standards.

  • Coordinate with internal departments, consultants, architects, and contractors on project-related matters.

  • Maintain accurate records of approvals, permits, correspondence, and statutory documentation.

  • Ensure all submissions comply with company standards, authority requirements, and project specifications.

  • Assist during audits and internal reviews by preparing complete and updated documentation.

  • Monitor and update project status trackers and submission records.

  • Prepare reports, status updates, costing summaries, and project documentation for the department.

  • Provide administrative support for store design and construction projects.

  • Assist with ad-hoc tasks and assignments related to store development and project coordination.

  • Perform any other duties assigned by management from time to time.

Job Requirements:
  • Certificate or Diploma in Construction Management, Architecture, Business Administration, or related field.

  • Minimum 1–3 years of working experience in project administration, construction coordination, tenancy administration, or authority submissions.

  • Experience in retail or F&B industry will be an added advantage.

  • Familiarity with local authority submissions, TNB applications, and water authority processes is preferred.

  • Good administrative, coordination, and documentation skills.

  • Strong attention to detail and organizational abilities.

  • Able to manage multiple tasks and coordinate with various stakeholders simultaneously.

  • Good communication and follow-up skills.

  • Proficient in Microsoft Office applications such as Word, Excel, and PowerPoint.

  • Knowledge of project tracking or document management systems will be an added advantage.

  • Ability to work independently and meet deadlines in a fast-paced environment.
