Purchasing Executive

Location: Ulu Tiram, Johor Industry: Education Type: Full Time

KEY RESPONSIBILITIES & DUTIES

Responsible for ensuring that our school and services meet the needs of the school community, including:

  • Ensure the school’s purchasing activities support its operational and academic needs.
  • Manage end-to-end procurement, including sourcing, negotiation, PR and PO management, and supplier coordination.
  • Maintain accurate records of contracts, purchases, and budget tracking reports.
  • Provide administrative and reporting support to the Head of Operations and Purchasing Committee.

JOB SCOPE

  • Manage all purchasing activities (annual and ad hoc), from supplier sourcing to invoice processing, in accordance with school policies.
  • Work closely with academic and operations teams to gather and verify procurement requirements.
  • Conduct supplier enquiries, negotiate pricing, and seek required approvals prior to raising Purchase Requisitions (PR).
  • Raise and issue Purchase Orders (PO) and liaise with suppliers on order confirmation, delivery scheduling, and resolving discrepancies.
  • Prepare documentation and reports for Purchasing Committee Meetings (PCM).
  • Oversee inventory forecasting and stock management.
  • Ensure compliance with procurement processes and internal controls.
  • Maintain accurate procurement, contract, and vendor records.
  • Prepare and update operational budget tracking and spending reports.
  • Carry out other relevant administrative and procurement-related tasks as assigned.

JOB REQUIREMENTS

  • Diploma or Bachelor’s degree in Purchasing, Procurement, Supply Chain, Business Management, or equivalent.
  • Minimum 2 years of experience in a purchasing or procurement role.
  • Strong negotiation, coordination, and organisational skills.
  • Proficient in Microsoft Office, especially Excel and Word.
  • Able to work independently with minimal supervision.
  • Detail-oriented, proactive, and accountable.
  • Immediate availability is an added advantage.
