Post-Contract Administration
- Carry out quantity take-offs from drawings and specifications, verify quantities against the Bills of Quantities (BQ), and prepare detailed quantity breakdowns and costing schedules using Excel for tendering and project cost control purposes.
- Review Letters of Award, contracts, drawings, specifications, and other project documents to identify contractual obligations, risks, exclusions, and deviations from the original tender submission.
- Attend project handover and kick-off meetings to brief project teams and management on contractual requirements, scope of works, budgets, and commercial considerations.
- Prepare and administer subcontract agreements and purchase orders in accordance with company procedures.
- Coordinate with project teams to ensure timely submission and approval of material samples and relevant technical documentation.
Procurement and Subcontract Management
- Negotiate commercial terms, pricing, and scope of work with suppliers and specialist subcontractors.
- Recommend and appoint subcontractors and suppliers based on technical capability, commercial competitiveness, and project requirements.
- Evaluate and certify subcontractors' progress claims based on actual site progress, approved quantities, and contractual terms.
- Monitor subcontractor performance from a contractual and commercial perspective to ensure compliance with project objectives.
Cost Management and Variation Control
- Monitor project costs against approved budgets and highlight any cost variances or potential risks to management.
- Identify, evaluate, and prepare Variation Order (VO) submissions arising from changes in scope, design amendments, or site instructions.
- Ensure timely submission, negotiation, and agreement of variation claims with clients and consultants.
- Maintain comprehensive records supporting all variation claims and cost adjustments.
- Work closely with Project Managers and site teams to ensure cost implications are identified and communicated promptly.
Progress Claims and Payment Management
- Prepare, submit, and follow up on monthly progress claims in accordance with contractual requirements and submission timelines.
- Liaise with clients, consultants, and contract administrators to obtain certification of progress claims.
- Monitor payment certificates and follow up on outstanding payments to ensure healthy project cash flow.
- Maintain records of payment statuses, retention sums, and other contract-related financial matters.
Final Accounts and Project Closure
- Prepare, negotiate, and conclude final accounts with clients, consultants, subcontractors, and suppliers.
- Ensure all contractual obligations, warranties, and required close-out documentation are submitted in accordance with contract conditions.
- Support the project team in resolving outstanding commercial matters to facilitate timely project closure.
Reporting and Documentation
- Maintain proper records of all contractual correspondence, quotations, claims, payment certificates, and commercial documentation.
- Ensure compliance with company policies, contractual obligations, and statutory requirements.
General
- Collaborate effectively with internal stakeholders including Project, Procurement, Finance, and Senior Management teams to achieve project objectives.
- Assist in pre-contract activities including reviewing tender documents, taking off quantities, preparing cost estimates, obtaining and evaluating quotations, and supporting the preparation and submission of tenders as and when required.
- Coordinate with management, suppliers, and subcontractors on tender clarifications, pricing reviews, negotiations, and tender interviews, while maintaining accurate tender records and cost databases as and when required.
Job Requirement
- sBachelor’s degree in Quantity Surveying, Civil/M&E Engineering, Construction Management, or a related field
- .Proven experience as a Quantity Surveyor or in a similar role within the construction industry
- .Strong analytical and numerical skills, with attention to detail
- .Proficiency in cost estimating and quantity takeoff techniques
- .Knowledge of construction contracts, procurement methods, and relevant regulations
- .Excellent communication and negotiation skills
- .Ability to work effectively in a team environment and under pressure
- .Proficiency in relevant software tools such as Excel, CostX, Bluebeam, or similar
