We're looking for a highly organized, tech-savvy Executive Assistant who thrives on creating order, driving execution, and getting things done efficiently. This role goes beyond traditional administrative support — you'll become a force multiplier for leadership by leveraging AI, systems, and operational excellence to maximize productivity across the business.
What You'll Be Crafting
- Manage the Director's calendar, meetings, priorities, and follow-ups to ensure smooth execution.
- Prepare meeting agendas, notes, action items, and coordinate with teams to drive completion.
- Create and polish presentations, reports, documents, trackers, and internal resources.
- Compile reports and maintain accurate data using Excel and Google Sheets.
- Leverage AI tools such as ChatGPT and Claude to improve productivity, reporting, research, and content creation.
- Identify opportunities to automate and streamline recurring processes.
- Handle confidential information and ad-hoc business tasks with professionalism and discretion.
- Champion a "work smarter, not harder" mindset across projects and responsibilities.
- Coordinate special projects from planning through completion, ensuring timelines and deliverables stay on track.
- Work cross-functionally with marketing, operations, creative, and leadership teams to support key initiatives.
- Take ownership of ad-hoc business tasks and challenges with a solutions-oriented approach.
Your Superpowers
- Minimum 2 years of experience as an Executive Assistant, Personal Assistant, Marketing Coordinator, Marketing Executive, or similar operational support role.
- Strong familiarity with AI tools such as ChatGPT, Claude, Gemini, or similar platforms, with genuine enthusiasm for using them daily.
- Excellent written and verbal communication skills in English.
- Advanced proficiency in Microsoft Excel, Google Sheets, PowerPoint, Google Slides, Word, and Google Docs.
- Strong understanding of data organization, reporting, formulas, and pivot tables.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
- Ability to work independently and produce polished, high-quality output with minimal supervision.
- High level of discretion, professionalism, and reliability when handling confidential information.
- Experience in marketing, advertising, fintech, iGaming, or fast-paced digital environments.
- Experience building dashboards, reports, or operational systems.
- Familiarity with tools such as Notion, Slack, ClickUp, Asana, or similar productivity platforms.
