Job Description

Responsibilities

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership. This is a full-time position requiring a high level of professionalism, discretion, and attention to detail.


Key Responsibilities

  • Manage calendars, schedules, appointments, and meeting arrangements for senior management.
  • Coordinate internal and external meetings, attend meetings when required, and prepare accurate meeting notes and minutes.
  • Handle administrative coordination, follow up on action items, and ensure deadlines are met.
  • Arrange travel itineraries, accommodations, and related logistics.
  • Prepare presentations, reports, correspondence, and other business documents.
  • Maintain organized records, files, and documentation.
  • Process and monitor expense claims and related financial documentation.
  • Conduct research, gather information, and track ongoing tasks and projects.
  • Support day-to-day office operations and facilitate effective communication with stakeholders.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Undertake ad-hoc assignments and special projects as required.


Requirements

  • Diploma or Degree in Business Administration or a related field, or equivalent professional experience.
  • Prior experience in executive support, personal assistance, or administrative roles is an advantage.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  • Excellent written and verbal communication skills.
  • Proactive, resourceful, and detail-oriented with strong problem-solving abilities.
  • Ability to work independently while maintaining a high level of accountability.
  • Demonstrated professionalism and discretion when handling confidential matters.
  • Proficient in Microsoft Office and/or Google Workspace.
  • Comfortable learning and using new software and digital tools.
