Job Summary
The Admin Procurement Executive (Group Support) is responsible for managing daily procurement, purchasing coordination, logistics support, vendor coordination, office administration, and operational support functions for KSM Group.
This role will gradually develop into a Group Procurement support function to assist procurement activities across multiple business units including factory, while continuing to support operational and administrative requirements for the Engineering, Trading, and Shared Service teams.
The role also supports inside sales processing activities for Trading in a coordination and order processing capacity.
Key Responsibilities
1. Procurement & Purchasing
- Handle sourcing, quotation comparison, and purchasing activities for office, operational, and project-related requirements.
- Issue Purchase Orders (PO) and coordinate with suppliers for delivery arrangements.
- Support cost comparison and vendor evaluation to ensure cost efficiency and timely delivery.
- Develop and maintain supplier databases and procurement records.
- Coordinate procurement support for Group companies including future support for factory procurement activities.
- Monitor stock levels and coordinate replenishment planning, if any.
- Support management in procurement planning, negotiation, and cost-saving initiatives.
2. Logistics & Warehouse Coordination
- Coordinate incoming and outgoing deliveries for Engineering and Trading teams.
- Liaise with forwarders, courier services, and transport providers.
- Support custom clearance documentation and shipment coordination.
- Manage Engineering and Trading warehouse inventory and stock arrangement.
- Ensure proper stock documentation and inventory tracking.
3. Sales & Order Processing Support
- Process customer orders for products.
- Prepare quotations, delivery coordination, and order documentation.
- Follow up on customer orders and delivery status in a coordination-based support role.
- Coordinate posting and shipment arrangements to customers.
- Support customer inquiries and order status updates.
4. Administration & Facility Management
Coordinate office administrative and facility-related matters.
Handle office purchases including pantry supplies, toiletries, and office necessities.
Coordinate maintenance and servicing activities including:
- Air conditioning servicing
- Coway water dispenser maintenance
- Pest control services
- Photocopying machines maintenance
- Shredder machines maintenance
- Minor office repair coordination
Maintain cleanliness and operational readiness of office facilities.
Support visitor reception and walk-in customer service.
5. Documentation & Record Management
- Organize and maintain proper filing systems for procurement, logistics, and administrative documentation.
- Ensure records are updated, accurate, and properly archived.
- Support audit and compliance documentation when required.
Job RequirementsEducation
- SPM/O-Levels/STPM/A-Level/Diploma in Business Administration, Supply Chain, Procurement, Logistics, or related field.
Experience
- Minimum 2–4 years of working experience in procurement, administration, logistics coordination, or related functions.
- Experience in handling purchase orders, supplier coordination, and logistics documentation is preferred.
- Exposure to warehouse coordination or inventory management is an added advantage.
Skills & Competencies
- Good coordination and communication skills.
- Strong organizational and documentation abilities.
- Able to multitask and handle operational support functions independently.
- Familiar with Microsoft Office applications and ERP systems.
- Basic knowledge of procurement processes and logistics coordination.
- Proactive, responsible, and detail-oriented.
- Able to work across departments and support group-level operations.
Job Types: Full-time, Permanent
Pay: RM3,000.00 - RM4,000.00 per month
