Role Description This is a full-time Executive Assistant role based in Sungai Petani with a hybrid work arrangement, combining on-site work with some work-from-home flexibility. The Executive Assistant will provide comprehensive administrative and executive support, including managing calendars, scheduling meetings, preparing documents, and handling correspondence for senior leaders. Daily responsibilities include organizing travel and accommodation, preparing and tracking expense reports, and maintaining accurate records and filing systems. The role also involves coordinating internal and external meetings, taking minutes, following up on action items, and supporting the preparation of presentations, reports, and proposals. The Executive Assistant will liaise across departments and with external partners to ensure smooth operations, maintain confidentiality, and support special projects as assigned.
Qualifications
- Strong executive administrative assistance and general administrative assistance skills, including calendar management, meeting coordination, and document preparation.
- Proficiency in executive support activities such as travel arrangements, expense reports, and handling confidential information with discretion.
- Excellent communication skills, both written and verbal, with the ability to interact professionally across all levels of the organization and with external stakeholders.
- Solid organizational and time-management abilities, with attention to detail and the capacity to prioritize multiple tasks in a fast-paced environment.
- Comfort with standard office software (e.g., Microsoft Office or Google Workspace) and willingness to learn new digital tools and systems.
- Previous experience as an Executive Assistant, Personal Assistant, or in a similar support role is preferred; experience in engineering or construction environments is an advantage.
- Diploma or degree in Business Administration, Management, or a related field is beneficial, though equivalent experience will be considered.
- Demonstrated reliability, integrity, and a proactive, solution-oriented approach to supporting leadership and team objectives.
