Position Purpose

The Admin Executive is responsible for the control, management, and submission of all PM documentation, maintenance records, permits, compliance evidence, and performance reports at the KTP-A site. This role ensures documentation integrity, audit readiness, and timely reporting to support the PM programme.

Key Responsibilities

Documentation Control

  • Maintain and control all PM records, checklists, permits-to-work, inspection reports, and compliance evidence in an accurate, organised, and auditable manner
  • Ensure all completed PM checklists are collected, reviewed for completeness, and filed promptly following each PM activity
  • Manage the document control register for all site documents, ensuring version control and accessibility

Reporting Support

  • Prepare and compile the Monthly PM Report, KPI summary, and compliance documentation for review by the Engineering Manager prior to submission to Day One
  • Prepare and issue Work Order documentation, PM completion certificates, and supporting compliance packages
  • Coordinate with the Planning & Scheduling Engineer to ensure CMMS records are reconciled with physical documentation

Helpdesk & Communications

  • Manage incoming and outgoing communications between Terotechnology’s on-site team and Day One’s representatives
  • Log and track all formal communications, instructions, and correspondence relating to PM activities
  • Support permit-to-work coordination and administrative processing

Audit & Compliance Support

  • Prepare documentation packages for internal and external audits
  • Ensure all statutory compliance records (e.g., Suruhanjaya Tenaga inspection ertificates, fire system test records) are filed and retrievable

Qualifications & Experience

  • Diploma or Degree in Business Administration, Facilities Management, or related discipline
  • Minimum 3 years’ experience in an administrative or documentation control role, preferably in a technical or engineering environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organisational skills and attention to detail
  • Familiarity with permit-to-work systems and CMMS is an advantage

Job Types: Full-time, Contract

Pay: From RM3,700.00 per month

Work Location: In person
