Internship Position: Building Management Operations Support
Position Overview
We are seeking a motivated intern to support the building management operations team in maintaining and managing the common areas of a premium office building in Kuala Lumpur. This internship offers hands-on experience in property management operations, with a primary focus on report preparation and administrative support. The intern will work directly under the guidance of the Building Manager, gaining valuable insights into the day-to-day mechanics of facilities management.

Key Responsibilities
Report Preparation & Documentation
- Assist the Building Manager in preparing daily, weekly, and monthly operational reports for common area management
- Compile and organize data on building performance metrics, maintenance activities, and service delivery
- Support the preparation of management presentations, status updates, and analytical reports
- Create visual dashboards and summaries to track key performance indicators
- Maintain accurate records of building operations and facility-related documentation
Administrative Support
- Coordinate and maintain comprehensive filing systems for maintenance records, service agreements, and vendor documentation
- Assist the Building Manager in scheduling routine inspections and maintenance activities for common areas
- Support the processing and tracking of work orders and service requests
- Help maintain building databases, management information systems, and contact directories
- Prepare correspondence and communications as directed by the Building Manager
- Coordinate meetings and maintain the Building Manager's calendar when required
Operational Coordination
- Liaise with service contractors and vendors under the Building Manager's supervision
- Monitor and track completion of maintenance tasks in common areas
- Assist in maintaining inventory records of equipment and supplies
- Support compliance documentation and regulatory requirement tracking
- Help organize and archive documentation for audits and inspections

- Positive attitude, eagerness to learn, and professional curiosity
- Reliable, punctual, and able to maintain confidentiality
- Good interpersonal skills for interacting with building occupants and vendors
Preferred Qualifications
- Previous internship or work experience in property or facilities management (advantageous)
- Familiarity with building management concepts, terminology, and operations
- Basic understanding of maintenance operations and building systems
- Experience with data analysis or report writing
