About the role

Loving Mansion Health Center is seeking an Admin Executive to join our administration team in Johor Bahru, Johor. This is a full-time position that plays a vital role in ensuring the smooth operation of our health centre. As an Admin Executive, you will be the backbone of our administrative operations, providing essential support to management and various departments. This role is critical to maintaining our high standards of organisation, communication, and service delivery to both staff and patients.

Key responsibilities

  • Managing and organising administrative tasks, including scheduling appointments, maintaining records, and coordinating meetings

  • Providing comprehensive administrative support to management and department heads

  • Handling correspondence, both internal and external, including emails, letters, and phone communications

  • Maintaining and updating filing systems and databases to ensure accurate and accessible information

  • Preparing and processing administrative documents, reports, and presentations

  • Coordinating office supplies and equipment ordering to maintain smooth operations

  • Supporting human resources functions, including recruitment administration and employee record management

  • Liaising between departments to facilitate effective communication and collaboration

  • Performing general administrative duties to support the overall functioning of the health centre

What we're looking for

  • Proven experience working as an administrative assistant or in a similar administrative role within a healthcare or office environment

  • Strong organisational and time management skills with the ability to manage multiple priorities

  • Excellent written and verbal communication skills in English and ideally Bahasa Malaysia

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Attention to detail and accuracy in documentation and record-keeping

  • Professional demeanour and ability to maintain confidentiality when handling sensitive information

  • Strong interpersonal skills and the ability to work effectively with people at all levels

  • Problem-solving abilities and a proactive approach to completing tasks

  • Familiarity with healthcare administration processes and terminology is advantageous

  • Ability to work independently and as part of a team
