Job Description

  • Manage and maintain company records, documents, and filing systems to ensure proper organization and accessibility.

  • Prepare and issue official correspondence, including letters, memos, reports, and other administrative documents.

  • Update and maintain accurate customer, agent, and supplier information in the company database.

  • Monitor customer bookings, payment schedules, and outstanding balances, ensuring timely follow-up when required.

  • Issue official receipts and accurately record customer payments received.

  • Record supplier invoices and prepare payment schedules/listings for management review and approval.

  • Enter and maintain accounting transactions, including invoices and sales receipts, in QuickBooks.

  • Upload, organize, and maintain supporting documents for accounting, operational, and compliance purposes.

  • Maintain employee personal files, leave records, and other HR-related documentation in accordance with company policies.

  • Provide general administrative, operational, and clerical support to ensure the smooth day-to-day running of the business.

  • Assist in the preparation of periodic administrative, sales, and financial reports as required by management.

  • Ensure all records and documentation are kept up to date, accurate, and in compliance with company procedures.

Requirements

  • Candidate must possess at least a Diploma or Bachelor's Degree in Accounting.

  • Minimum 2 years of working experience in accounting and administrative roles.

  • Proficient in Microsoft Office applications, particularly Microsoft Excel and Word.

  • Experience in QuickBooks will be an added advantage.

  • Good organizational, communication, and time-management skills.

  • Able to work independently with minimal supervision and meet deadlines.

  • Possess a positive attitude, willingness to learn, and strong attention to detail.

Working Hours:

  • 9:00 AM – 6:00 PM (Monday – Friday)

  • 9:00 AM – 1:00 PM (Saturday)
