Role Description
1. Administrative Support
• Provide day-to-day administrative and clerical support to the project team.
• Manage scheduling, calendar coordination, and meeting arrangements for project-related activities.
2. Document Management
• Control, organize, and maintain all project documentation, drawings, and correspondences with proper version control.
• Ensure accurate filing and retrieval of project records in both physical and digital formats.
3. Communication & Coordination
• Act as a liaison between internal teams, consultants, vendors, and external stakeholders to ensure smooth information flow.
• Coordinate and follow up on project-related matters across departments such as Procurement, Legal, and Safety.
4. Meeting & Reporting
• Prepare meeting agendas, take accurate minutes, and monitor progress on action items.
• Draft, review, and finalize project correspondence, reports, and memos.
5. Project Monitoring
• Assist in tracking consultant appointments, drawing submissions, and project workflow progress.
• Support project reporting and ensure timely submission of deliverables in accordance with project timelines.
Qualifications
• Diploma or bachelor’s degree in business administration, or a related field.
• Minimum 1 year of experience in administrative or project support roles.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• High attention to detail, accuracy, and document control practices.
• Ability to work independently and collaboratively in a fast-paced environment.
