Job Summary
The Junior Project Operations Executive supports the operational planning and execution of event projects. This role focuses on coordinating logistics, managing event setups, supervising operational requirements, and ensuring smooth on-site execution of projects.
The role works closely with the Project Planning team to translate project plans into operational actions. The position requires strong coordination, attention to detail, and the ability to work efficiently in fast-paced event environments. The role also utilizes AI and digital tools to support operational planning, reporting, and workflow coordination.
Key Responsibilities
1) Event Operations Planning
- Assist in translating project plans into operational execution plans.
- Prepare operational checklists, logistics plans, and setup schedules.
- Coordinate event setup, dismantling, and operational timelines.

2) Logistics & Resource Coordination
- Coordinate event logistics including equipment, materials, manpower, and transportation.
- Ensure operational resources are arranged and delivered according to project schedule.
- Assist in preparing inventory lists and tracking equipment usage.

3) Vendor & Supplier Coordination
- Coordinate with vendors and suppliers for event setup, production, and services.
- Ensure vendors deliver services according to agreed timelines and requirements.
- Assist in monitoring vendor performance during event preparation and execution.

4) Event Setup & On-site Operations
- Assist in managing event setup and operational readiness.
- Support the project team during rehearsals and event-day execution.
- Monitor operational progress and ensure all event components function smoothly.

5) Operational Documentation
- Maintain operational records including inventory lists, vendor documents, and logistics records.
- Assist in preparing operational reports and post-event summaries.
- Ensure proper documentation of operational processes and improvements.

6) AI & Digital Productivity Utilization
- Utilize AI tools to assist in preparing operational checklists, reports, and documentation.
- Use digital collaboration tools to coordinate operational tasks and communication.
- Apply AI-assisted tools for logistics planning, documentation, and workflow efficiency.
- Continuously learn and adopt AI tools to improve operational productivity.
