The Opportunity


Natixis Investment Managers Singapore is seeking an Executive Assistant to provide comprehensive secretarial support to Chief Executive Officer and administrative support for the Singapore office.


Key Areas of Responsibility:

  • Professional support to Chief Executive Officer
  • Calendar and schedule management
  • Travel & logistics arrangements
  • Activities arrangements including events, meetings, townhalls, client functions, client itineraries, internal functions
  • Arrange executive roadshows
  • Arranging briefing decks, collating information and materials to support activity
  • Expense reports, invoicing, etc.
  • Ad hoc project management


  • Ensure smooth running of office. Duties includes but not limited to the following:
  • Day to day management of office facilities and functions
  • Teleconference facilities, video conference rooms
  • Managing printers, stationery supply
  • Dealing with necessary vendors and suppliers
  • Arrange meetings, tele-conferences & video conferences
  • Coordinate and manage new staff on / off boarding
  • Manage incoming & outgoing couriers/dispatches
  • Assist with sales and distribution team events
  • Deal with vendors, hotel management, venue bookings, etc.


Selection Criteria:


  • Degree or above in business administration or related disciplines
  • 10+ years' secretarial and/or administrative experience in support senior management and C-suite, preferably in international financial services institutions
  • Strong interpersonal and communication skills
  • Ability to work independently and efficiently under pressure
  • Strong organisation skills and high proficiency in Microsoft Office
  • Fluency in English and an additional Asian language will be an advantage
