Job Description

We are looking for a highly organized and driven Project Administrator to join our team and play a key role in delivering innovative factory automation and solutioning. You will be at the heart of project execution from coordinating documentation, supporting maintenance contracts, monitoring project budget, and ensuring projects stay on track to completion. You will also work closely with the solutioning team to prepare technical drawings, tender submissions, and project deliverables that help secure and deliver exciting opportunities. Your Key Responsibilities

Projects and Maintenance Contract support

• Provide administrative support for ongoing projects and maintenance contracts renewals.
• Prepare monthly progress claims and costs.
• Prepare the OMM and necessary documentations for submission and parts purchases and services for service team.
• Ensure proper documentations for parts purchase and services for maintenance team.
• Monitor and maintain the maintenance contract renewal and outstanding payment i.e. Addition & Alteration (A&A) works, Maintenance & variation orders.
• Prepare documents for customer and vendor account creation for project, maintenance and solution section.
• Process vendor invoices and prepare sales orders.
• Create Material creation on S/4 HANA for new material purchasing.
• Perform the role as the department document controller for confidential documents.
• Prepare monthly backlog reports for both project and maintenance.

Solutioning Support

• Support solution and Industry team on tender submission.
• Capture the data I/O points through As-Build drawing, calculation of point list and prepare I/O breakdown.
• Prepare M&E drawings, section details, and as‑built drawings for ACMV/BMS for tender submissions.
• Prepare catalogues and technical specifications for tender submission.
• Assist in system configuration and architectural drawings.

Your Skills

• Familiar with 3D Autocad / BIM Drawing.
• Good understanding in technical drawings and building systems.

Your Profile

• Diploma / Degree in Building Services or relevant Engineering disciplines.
• 1 to 3 years as project coordinator / engineering coordinator / project administrator in engineering industry.
• Experience in managing multiple projects would be advantageous.
• Experience in coordinating engineering projects, managing documentation and supporting tenders.
