Job Title: Admin Executive

We are looking for a proactive and organized Admin Executive to support our daily office operations and project administration. The ideal candidate will be responsible for administrative duties, project coordination, documentation, invoicing, and general office support to ensure smooth business operations.

Key Responsibilities

Administration & Office Support

  • Manage daily office administration and documentation.
  • Maintain project files, contracts, and company records.
  • Handle incoming calls, emails, and client enquiries.
  • Schedule meetings and coordinate appointments.
  • Organize and maintain filing systems and company databases.

Project Coordination

  • Assist designers and project managers with project documentation.
  • Prepare quotations, purchase orders, invoices, and payment records.
  • Coordinate with suppliers, subcontractors, and clients regarding project schedules and deliveries.
  • Monitor project timelines and update internal records.
  • Ensure all project documents are properly maintained and accessible.

Finance & Documentation

  • Prepare invoices and follow up on outstanding payments.
  • Maintain expense records and administrative reports.
  • Liaise with external accountants for bookkeeping and financial documentation.
  • Support month-end administrative and finance-related tasks.

HR & General Support

  • Assist with staff onboarding and administrative matters.
  • Maintain office supplies and equipment.
  • Support management with ad-hoc administrative duties.
  • Assist in coordinating company events, meetings, and staff activities.

Requirements

  • Diploma or equivalent qualification in Business Administration or related field.
  • At least 1–3 years of administrative or project coordination experience preferred.
  • Proficient in Microsoft Office (Word, Excel, Powerpoint).
  • Good organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to multitask and work independently.
  • Experience in the Interior Design, Renovation, Construction, or related industry is an advantage.

Salary

  • Salary commensurate with experience.

Working Hours

  • Monday to Friday: 10am - 6pm

Pay: $2,800.00 - $3,800.00 per month
