1. Shipping Documentation Processing
- Prepare and process shipping documents including Bills of Lading, invoices, shipping instructions, and related paperwork.
2. Accuracy & Compliance
- Verify all shipping documents to ensure compliance with applicable shipping regulations, customs requirements, and company policies.
- Maintain a minimum documentation accuracy rate of 90% or above.
- Identify and correct discrepancies in documentation before submission or release.
3. Record Management
- Maintain proper filing and organized records of all shipping-related documents (physical and digital).
- Ensure documentation is easily retrievable for audit, tracking, and operational purposes.
4. Coordination & Communication
- Liaise with internal departments, customers, carriers, freight forwarders, and other stakeholders to ensure timely and accurate documentation processing.
- Follow up on pending documentation and resolve documentation-related issues promptly.
5. Issue Resolution
- Assist operational teams in investigating and resolving discrepancies or missing information in shipping documents.
- Escalate complex issues to supervisors when necessary.
6. Reporting & Monitoring
- Assist in preparing periodic reports related to documentation accuracy, processing efficiency, and error tracking.
- Support continuous improvement initiatives in documentation workflow and turnaround time.
- Ensure all booking entries and shipping documentation are accurately recorded in the system.
Requirements
- Diploma in Logistics, Maritime Studies, Business Administration, or related field
- Experience in shipping, freight forwarding, or logistics documentation is an advantage
- Familiar with Bills of Lading, Incoterms, and basic shipping procedures
- Strong attention to detail and organizational skills
- Proficient in Microsoft Office and documentation systems
