Key Responsibilities

• Maintain and organize vessel inventory records, store lists, and equipment documentation for each vessel.
• Update and monitor daily fleet movement reports.
• Prepare requisition orders for food provisions, fuel, equipment, hardware, and other operational requirements.
• Verify, record, and maintain supplier invoices and supporting documents.
• Dispatch, sort, and distribute operational documents, correspondence, invoices, and claims to relevant departments.
• Operate computer systems to input, retrieve, and maintain operational data accurately.
• Operate standard office equipment, including photocopiers, printers, scanners, and other office machines.
• Monitor vessel statutory certificates and maintain records to ensure timely renewal before expiry.
• Update Daily Progress Reports (DPR) and submit them to charterers in accordance with operational requirements.
• Maintain proper filing systems for operational documents and ensure records are up-to-date and easily accessible.
• Provide administrative support to the Operations Department and perform other duties as assigned by management.

Job Requirements

• Minimum SPM/STPM, Certificate, Diploma, or equivalent qualification in Business Administration, Maritime Studies, Logistics, Shipping, or a related field.
• Fresh graduates are encouraged to apply. Candidates with 1–2 years of experience in shipping, marine, logistics, or operations administration will have an added advantage.
• Proficient in Microsoft Office applications, particularly Microsoft Excel & Word.
• Good organizational, filing, and document management skills.
• Strong attention to detail with the ability to maintain accurate records.
• Good communication and interpersonal skills.

Pay: RM1,700.00 - RM2,000.00 per month
