We are currently seeking a meticulous and proactive Document Controller to join our team based in Kuala Lumpur. In this role, you will be instrumental in supporting our project execution by managing all aspects of documentation, ensuring accuracy, compliance, and accessibility. You will be responsible for the lifecycle of project documents using our Electronic Document Management Systems (EDMS)


Key Responsibilities

Project Execution Support

  • Register, classify, manage, track, file, and distribute all electronic and hard copy project deliverables, including drawings, technical specifications, and correspondence .
  • Ensure the completeness and correctness of incoming and outgoing documentation as per transmittals received or issued .
  • Register all incoming and outgoing documents and drawings into the EDMS, maintaining a clear and audit-ready trail .
  • Ensure the correct distribution of documents and drawings to respective stakeholders, including clients, subcontractors, and internal teams, based on the agreed Document Distribution Matrix (DDM) .
  • Perform quality checks on documents to ensure they meet project and Technip Energies' requirements .
  • Prepare a weekly progress report on document control activities .
  • Actively participate in the closing and archiving of projects .
  • Provide Document Control services directly to the Client (DC Client) as per project contract requirements.



Qualifications & Experience

  • A Degree or Diploma in Document Management, Records Management, Business Information Systems, or an equivalent field .
  • A minimum of 5 years of working experience in a similar document control role.


Skills & Competencies

  • Technical Proficiency: Working knowledge of MS Office Suite (Excel, Word, PowerPoint) and strong proficiency in using EDMS software . Ability to quickly learn new software applications .
  • Detail-Oriented: Rigorous and accurate, with the ability to carefully follow established procedures to ensure high-quality output free from errors .
  • Organizational Skills: Excellent priority management, with the ability to effectively allocate your own time to complete work tasks .
  • Communication: Good interpersonal skills and a team player. Ability to communicate effectively in written and spoken English .
  • Document Filing Knowledge: Solid understanding of physical and electronic filing processes, archiving systems, and the ability to attribute proper reference numbers for easy document retrieval .
  • Business Acumen: Able to understand business workflow and how document control supports project success .
