Key Responsibilities:
1. Project Coordination & PMO Support
- Maintain and update project trackers, action logs, issue registers, and milestone dashboards for PROX transformation initiatives
- Coordinate meetings, prepare agendas, capture key decisions, and ensure timely follow-up on action items
- Support preparation of leadership updates, project status reports, and presentation materials
- Track project risks, dependencies, and escalations to ensure timely resolution
2. Process Documentation & SOP Governance
- Support documentation of current-state and future-state GPSS workflows
- Develop and maintain SOPs, process maps, RACI matrices, work instructions, FAQs, and checklists
- Ensure documentation is consistent, standardized, and easily accessible for operational and automation use
- Support continuous improvement and documentation readiness for digitalisation and AI enablement
3. Data Management, Analysis & Reporting
- Collect, consolidate, and validate operational data (e.g., case volumes, cycle times, service trends, adoption metrics)
- Maintain dashboards, trackers, benefit logs, and reporting templates
- Prepare summaries, insights, and basic analysis to support decision-making
- Support tracking of transformation KPIs and process performance metrics
4. AI, Automation & Digital Enablement Support
- Support documentation of AI, automation, chatbot, and workflow digitisation use cases
- Assist in requirements gathering, test script preparation, UAT tracking, and issue management
- Support pilot tracking, feedback consolidation, and stabilization activities
- Monitor readiness and adoption activities across transformation initiatives
5. Change Management & Communications Support
- Support development of communication materials, user guides, FAQs, training content, and knowledge articles
- Track stakeholder readiness, training completion, feedback, and adoption progress
- Maintain change logs, communication plans, and readiness checklists
- Support engagement activities to drive awareness and adoption of new processes
6. Operational Support for Transformation Delivery
- Support workshops, discovery sessions, stakeholder interviews, and process walkthroughs
- Provide coordination and administrative support to ensure smooth execution of transformation activities
- Monitor progress and proactively escalate delays, risks, or missing inputs
- Ensure documentation and deliverables are updated throughout project lifecycle
RequirementsQualifications
- Diploma or Bachelor’s degree in Human Resources, Business Administration, Operations, Data Analytics, Information Systems, or related field
Experience
- 2–5 years of experience in HR operations, shared services, PMO support, process documentation, or business transformation support
- Fresh graduates with exposure to AI, automation, or transformation projects are welcome
Skills & Competencies
- Strong coordination, organization, and follow-up skills
- Good documentation and reporting abilities with attention to detail
- Basic analytical skills and ability to consolidate data clearly
- Proficient in Microsoft Word, Excel, PowerPoint, Teams, and SharePoint
- Ability to work effectively with global teams across time zones
- Professional, discreet, and structured working style
Preferred Qualifications
- Experience in HR shared services, global business services, or transformation/PMO environments
- Exposure to ServiceNow, Workday, Power BI, Power Automate, Microsoft Copilot, or similar tools
- Familiarity with SOP development, process mapping, UAT support, or change management activities
Pay: RM3,500.00 - RM5,000.00 per month
