KEY RESPONSIBILITIES

1. Office & Workspace Management

  • Maintain the overall cleanliness, safety, and presentation of the SOLS office at all times
  • Conduct regular walk-throughs to identify and proactively resolve any physical or environmental issues
  • Ensure all workstations, meeting rooms, common areas, and facilities are functional and well-equipped
  • Oversee office layout, space planning, and any renovation or reconfiguration works
  • Manage inventory of office supplies, furniture, and equipment — ordering and restocking as needed

2. Building & Infrastructure Maintenance

  • Coordinate and oversee all maintenance activities including electrical, plumbing, HVAC, and structural upkeep
  • Manage and schedule preventive maintenance programmes to minimise downtime and emergency breakdowns
  • Respond quickly to facility-related issues, escalating only when necessary with a clear resolution plan
  • Track all assets and maintain an up-to-date asset register for all office equipment and infrastructure
  • Liaise with building management and landlord on lease-related facility matters

3. Health, Safety & Compliance

  • Ensure the office complies with all relevant health, safety, and fire regulations under Malaysian law
  • Conduct periodic safety audits and risk assessments; implement corrective actions immediately
  • Maintain emergency preparedness plans, including fire drills and first-aid kit readiness
  • Ensure all safety signage, exits, and equipment (fire extinguishers, AEDs) are current and accessible
  • Keep records of all inspections, incidents, and compliance certifications

4. Vendor & Contractor Management

  • Source, negotiate, and manage contracts with external service providers (cleaning, security, maintenance, etc.)
  • Evaluate vendor performance regularly and hold them accountable to agreed service standards
  • Follow the Decision Authority Formula: baseline pricing, shortlist 3 options, validate quality
  • Ensure all contractors on-site adhere to SOLS safety and conduct standards
  • Process invoices and manage facilities-related expenditure within approved budget

5. Sustainability & Zero Waste

  • Champion a zero-waste culture within the office — reduce, reuse, and optimise resource consumption
  • Monitor utility usage (electricity, water) and identify opportunities to reduce cost and environmental impact
  • Implement and enforce recycling, waste segregation, and energy-saving initiatives
  • Report monthly on sustainability metrics and recommend continuous improvements

6. Systems & Reporting

  • Maintain a facilities tracker covering open issues, scheduled maintenance, vendor contracts, and budget spend
  • Provide weekly updates to the Operations Director on facilities status, risks, and pending actions
  • Build repeatable SOPs for all recurring facilities tasks to reduce dependency on individual effort
  • Flag recurring problems as system issues and propose root-cause solutions, not just fixes

QUALIFICATIONS & REQUIREMENTS

Essential

  • Minimum 3 years of experience in facilities management, building management, or a related operations role
  • Proven ability to manage vendors, negotiate contracts, and hold service providers accountable
  • Strong understanding of building systems: electrical, HVAC, plumbing, and general maintenance
  • Knowledge of Malaysian occupational safety and health (OSH) regulations and fire safety requirements
  • Highly organised with the ability to manage multiple priorities simultaneously
  • Self-starter with strong ownership mindset — able to identify problems and resolve them without being asked
  • Proficient in Microsoft Office or Google Workspace for reporting and documentation
  • Strong communication skills in Bahasa Malaysia and English

Preferred

  • Diploma or Degree in Facilities Management, Building Services, Engineering, or a related field
  • Experience managing a multi-function office environment in a growing organisation
  • Familiarity with sustainability practices and green building principles
  • Experience working in a fast-paced, mission-driven organisation

Pay: From RM5,500.00 per month
