This role resides under MISC Marine (the Integrated Marine Services arm of MISC Group) and a 2-Years Contract role
Key Accountabilities
1. Business Process Documentation
- Support the documentation of current ("As-Is") and future ("To-Be") business processes across project workstreams.
- Work with business process owners, SMEs, and project teams to capture and maintain process flows, procedures, work instructions, and operating guidelines.
- Ensure process documentation is complete, accurate, standardized, and aligned with project objectives.
- Assist in identifying process gaps, overlaps, and opportunities for process standardization.
2. Document Control & Governance
- Establish and maintain document control procedures, naming conventions, templates, and version control mechanisms.
- Manage the project document repository and ensure proper filing, retrieval, archiving, and accessibility of project artefacts.
- Maintain document registers, approval records, and document revision histories.
- Ensure all controlled documents are reviewed, approved, and distributed according to established governance requirements.
3. Data Governance Documentation
- Support the Data Lead in maintaining data governance documents, data dictionaries, data standards, data ownership matrices, and data mapping documentation.
- Ensure all data-related artefacts are properly reviewed, validated, and stored in accordance with project governance requirements.
- Assist in tracking data-related decisions, assumptions, risks, and issue resolutions.
4. Data Migration & Process Readiness Support
- Coordinate preparation and maintenance of data migration templates, validation procedures, reconciliation reports, and sign-off documentation.
- Support business users and data owners in completing required documentation associated with data cleansing and migration activities.
- Ensure documentation required for testing, cutover, and go-live activities is complete and approved.
5. Quality Assurance & Compliance
- Conduct quality checks on project documentation to ensure consistency, completeness, accuracy, and compliance with project standards.
- Monitor compliance with document management and governance procedures.
- Support internal and external audits by providing accurate documentation and evidence of process compliance.
- Assist in tracking closure of documentation and audit-related findings.
5. Knowledge Management & Training Support
- Organize and maintain project knowledge repositories to facilitate knowledge transfer and organizational learning.
- Support the development and maintenance of user guides, standard operating procedures (SOPs), quick reference materials, and training documentation.
- Coordinate document distribution and updates to ensure stakeholders have access to the latest approved information.
6. Stakeholder Coordination
- Liaise with business process owners, data owners, project teams, system integrators, and vendors to obtain required information and approvals.
- Coordinate document review cycles and follow up on pending actions and approvals.
- Support governance meetings by preparing, maintaining, and distributing meeting records, action logs, and supporting documentation.
7. Post Go-Live Documentation Support
- Ensure all operational documentation, SOPs, process manuals, and support artefacts are finalized and handed over to business and support teams.
- Maintain documentation updates resulting from post go-live improvements and stabilization activities.
- Support ongoing documentation governance to ensure continued compliance and operational effectiveness.
8. People Development
- Promote awareness of document control standards, process governance, and knowledge management practices among project stakeholders.
- Support business users in understanding documentation requirements and governance processes.
9. Vision & Mission
Support the organization’s digital transformation and operational excellence initiatives by ensuring robust process governance, documentation management, and knowledge preservation across the project lifecycle.
EXPERIENCE
- Minimum 3–5 years’ experience in document control, process management, quality management, project administration, business process improvement, or related functions.
- Experience supporting ERP implementation, digital transformation, or enterprise-wide projects is preferred.
- Experience managing controlled documentation, SOP development, governance processes, and audit requirements.
- Familiarity with business process mapping methodologies and document management systems is an advantage.
- Experience in maritime, logistics, energy, or asset-intensive industries would be an added advantage.
QUALIFICATIONS
- Bachelor's Degree in Business Administration, Information Systems, Engineering, Quality Management, Records Management, Management, or related discipline.
- Professional certification in Business Process Management (BPM), Document Control, Quality Management (ISO), or Project Management is an added advantage.
- Proficiency in Microsoft Office Suite, SharePoint, document management systems, and process mapping tools is preferred.
