About the role
We are seeking a detail-oriented and organised Administrative Assistant to join the team at KL Geotechnics Sdn Bhd. Based in Bukit Tengah, Penang, this is a full-time position that plays a vital role in ensuring the smooth operation of our office and supporting the efficient delivery of our geotechnical services. You will be the backbone of our administrative function, providing essential support to management and various departments whilst maintaining our high standards of professionalism and organisation.
Key responsibilities
Managing and organising office schedules, appointments, and meetings for management and staff members
Handling incoming and outgoing correspondence, emails, and telephone communications with professionalism and efficiency
Maintaining and updating filing systems, both physical and digital, ensuring information is easily retrievable and properly archived
Preparing and processing administrative documents including register or manage foreign worker's entry or renewal permit.
Arrange medical exam under FOMEMA for foreign workers
Supporting recruitment processes by screening applications, scheduling interviews, and maintaining candidate records
Performing general data entry and database management tasks
Providing administrative support across multiple departments as required
Ensuring compliance with company policies and procedures
What we're looking for
Proven experience as an Administrative Assistant or in a similar administrative role within a professional environment
Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
Excellent written and good communication skills in English and Bahasa Malaysia.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general IT competency
Attention to detail and accuracy in all administrative tasks and documentation
Professional demeanour with the ability to interact confidently with staff at all levels and external stakeholders
Strong discretion and the ability to maintain confidentiality of sensitive information
Proactive approach with the ability to work independently and as part of a team
Problem-solving skills and flexibility in adapting to changing priorities
A minimum of 1–2 years of relevant administrative experience is preferred
