Key Responsibilities

Administrative & Clerical Support

  • Provide comprehensive assistance to Sales, Marketing, Finance, Production, and Operations departments.

  • Prepare, file, and maintain records including contracts, invoices, HR forms, and compliance documents.

  • Ensure proper documentation flow and adherence to company policies.

Data Entry & Reporting

  • Input high volumes of sales transactions, supplier invoices, and operational data into accounting/ERP systems.

  • Generate accurate daily, weekly, and monthly reports to support management decision-making.

  • Maintain data integrity to prevent errors that could lead to stockouts or financial discrepancies.

Communication Handling

  • Manage emails, phone calls, and official correspondence across departments.

  • Handle customer inquiries, complaints, and feedback promptly to ensure satisfaction.

  • Act as a liaison between internal teams, suppliers, and external stakeholders to maintain smooth communication flow.

Logistics & Financial Support

  • Assist with delivery schedules, inventory tracking, and coordination with suppliers to ensure timely product flow.

  • Support finance functions by processing petty cash, expense claims, and supplier invoices.

  • Monitor operational efficiency and highlight discrepancies for corrective action.

Event & Promotional Coordination

  • Help organize company events, trade shows, and promotional activities.

  • Provide administrative support during campaigns, ensuring smooth execution and reporting.

  • Assist marketing teams in tracking promotional effectiveness and customer engagement.

Requirements
  • Diploma/Degree in Business Administration or related field.

  • 1–3 years in administrative roles, preferably within FMCG or food industry.

  • Proficient in MS Office & Accounting systems.

  • Strong organizational and multitasking abilities.

  • Good communication skills in English and Bahasa Malaysia.

  • Ability to work under pressure in a fast-paced FMCG environment.
