About the role
We are seeking a Senior Admin Executive to join ASTRAMAS MANAGEMENT in Subang Jaya, Selangor. This is a full-time position offering a unique opportunity to take on a strategic administrative role that directly supports the smooth operation of our organisation. As Senior Admin Executive, you will be responsible for managing complex administrative functions, coordinating between departments, and ensuring efficient office operations. This role is integral to maintaining our high standards of organisational excellence and supporting senior management in achieving company objectives.
What you'll be doing
Maintaining and updating office records, databases, and filing systems to ensure accurate and efficient information management
Providing excellent customer service to internal and external stakeholders
Offering additional support to the team as needed to contribute to the overall success of the organisation
Assist Director in daily coordination of business activities, meetings, and scheduling.
Handle insurance claim documentation and follow up with clients or insurers.
Manage client gift preparation for festive seasons and opening ceremonies.
Coordinate travel, accommodation, and outstation arrangements.
Source and compare quotations for major portfolio clients.
Support ongoing IT system and digitalization projects.
Manage event arrangements and client networking appointments.
Prepare simple reports, follow up on tasks, and ensure deadlines are met.
Assist in director other business operations and related documentation.
Research and prepare government grant applications when eligible.
What we're looking for
Minimum 5 years of experience in an administrative or office support role, with at least 2 years in a senior capacity
Proven ability to manage multiple tasks simultaneously and prioritise effectively in a fast-paced environment
Excellent organisational and time management skills with strong attention to detail
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software
Strong written and verbal communication skills in English, with the ability to communicate professionally with all levels of staff
Demonstrated experience in coordinating meetings, events, and administrative projects
Ability to maintain confidentiality and handle sensitive information with discretion
Strong interpersonal skills and the ability to work collaboratively within a team environment
Leadership qualities and capability to mentor junior staff members
Flexibility and adaptability in responding to changing priorities and business needs
Knowledge of HR administration, financial processes, and company policies is advantageous
