Customs & Import / Export Operations
- Manage and coordinate all import and export customs clearance activities to ensure timely release of shipments and compliance with Malaysian Customs regulations.
- Prepare, review and verify shipping and customs documentation such as commercial invoices, packing lists, Bill of Lading, Air Waybill, certificate of origin, permit documents, and customs declaration forms.
- Liaise closely with freight forwarders, customs brokers, shipping agents, transporters, and relevant government authorities to ensure smooth shipment movement.
- Monitor shipment status and resolve customs clearance, declaration, or documentation issues to avoid delays, penalties, or additional costs.
- Ensure accurate declaration of HS code / tariff classification, customs value, country of origin, and applicable taxes / duties for all imported and exported goods.
- Coordinate with internal teams including Purchasing, Planning, Warehouse, Finance, Production and Customer Service on shipment schedules, urgent clearances, and customs-related matters.
Customs Compliance & Regulatory Management
- Ensure full compliance with Royal Malaysian Customs, SST regulations, import/export licensing requirements, and other trade compliance regulations.
- Maintain proper customs records, shipping records, permits, declarations, duty payment records, and supporting documents for audit and statutory requirements.
- Handle and monitor duty exemption applications, import permits, export permits, and other customs-related approvals where applicable.
- Support and manage LMW / bonded warehouse / free zone / duty suspension processes if applicable to company operations.
- Keep up to date with changes in customs regulations, tariff codes, trade procedures, and government requirements, and communicate relevant updates to internal stakeholders.
- Review internal customs processes and recommend improvements to strengthen compliance, efficiency, and cost control.
Cost Control, Audit & Reporting
- Verify freight, duty, tax, and customs-related charges to ensure accuracy and proper cost allocation.
- Work with Finance and Logistics teams to reconcile customs duty payments, shipping invoices, and related import/export costs.
- Prepare customs-related reports, shipment reports, duty reports, permit status reports, and compliance documentation for management review.
- Support internal and external audits related to customs, trade compliance, logistics, and inventory movement.
- Investigate customs discrepancies, shipment issues, or non-compliance cases and implement corrective actions.
Stakeholder / Team Coordination
- Act as the key point of contact for customs and trade compliance matters across departments.
- Provide guidance to internal users on shipping documentation, customs requirements, import/export procedures, and compliance matters.
- Coordinate with suppliers, customers, and service providers on shipment documentation and customs requirements.
- Support continuous improvement initiatives in logistics and customs operations to improve turnaround time, reduce risk, and optimize cost.
Requirements
- Bachelor’s Degree / Diploma in Logistics, Supply Chain, Business Administration, International Trade, Customs Administration or equivalent.
- Minimum 5–8 years of working experience in customs, import/export, shipping, or trade compliance, preferably in a manufacturing / EMS / plastic injection molding / contract manufacturing environment.
- Strong knowledge of Malaysia Customs regulations, SST, import/export procedures, shipping documentation, tariff classification (HS code), permits, and duty/tax requirements.
- Hands-on experience dealing with freight forwarders, customs brokers, shipping lines, and government authorities.
- Experience in LMW / bonded warehouse / free trade zone / duty exemption / import permit / export permit processes will be an added advantage.
- Familiarity with ERP / SAP / shipping documentation systems and Microsoft Office applications.
- Good analytical, problem-solving and coordination skills with strong attention to detail.
- Able to work independently, manage multiple shipments and deadlines, and respond quickly to urgent operational issues.
- Good communication skills in English and Bahasa Malaysia; ability to communicate with internal stakeholders and external service providers effectively.
Preferred Qualifications / Added Advantage
- Experience in high-volume import/export operations within a fast-paced manufacturing environment.
- Knowledge of FTA / COO documentation, trade agreements, and cost-saving opportunities related to customs and duty management.
- Exposure to audit, compliance review, and process improvement initiatives.
- Strong understanding of inventory movement control between warehouse, production, and shipping from a customs compliance perspective.
