Job Description

Responsibilities

Key Responsibilities

Payroll Processing

  • Process end-to-end monthly payroll for multiple clients in Malaysia and Singapore.
  • Validate payroll inputs, including attendance, overtime, shift allowances, commissions, bonuses, incentives, and salary adjustments.
  • Calculate employee earnings, deductions, reimbursements, and final salary payments.
  • Process new hires, resignations, terminations, unpaid leave, salary increments, and promotions.
  • Prepare payroll journals and payroll reports for clients.
  • Ensure payroll is processed accurately and within agreed service timelines.

Malaysia Payroll Administration

  • Process statutory deductions, including:
  • Employees Provident Fund (EPF)
  • Social Security Organisation (SOCSO)
  • Employment Insurance System (EIS)
  • Monthly Tax Deduction (PCB/MTD)
  • Human Resources Development Corporation (HRD Corp), where applicable
  • Prepare statutory reports and ensure timely submission and payment.
  • Maintain compliance with Malaysian labour laws and payroll regulations.

Singapore Payroll Administration

  • Process statutory payroll requirements, including:
  • Central Provident Fund (CPF)
  • Skills Development Levy (SDL)
  • Self-Help Group (SHG) contributions
  • Auto Inclusion Scheme (AIS) reporting
  • Income tax reporting (IR8A and related forms)
  • Process payroll for local employees and, where applicable, foreign employees in accordance with Singapore regulations.
  • Ensure compliance with the Singapore Employment Act and other statutory requirements.

Client Relationship Management

  • Serve as the primary point of contact for assigned payroll clients.
  • Respond promptly to client enquiries regarding payroll calculations, statutory deductions, leave balances, and payroll reports.
  • Provide payroll advice and guidance in accordance with applicable regulations.
  • Build and maintain strong professional relationships with clients.
  • Ensure high levels of client satisfaction and service delivery.

Payroll Compliance

  • Ensure compliance with payroll legislation in Malaysia and Singapore.
  • Keep up to date with changes in employment laws, tax regulations, and statutory contribution rates.
  • Maintain accurate payroll documentation and audit trails.
  • Support internal and external payroll audits.
  • Ensure confidentiality of employee payroll information at all times.

Reporting & Documentation

  • Generate payroll summaries, payslips, bank transfer files, and statutory reports.
  • Prepare payroll reconciliation reports.
  • Maintain payroll records and employee master data.
  • Produce year-end payroll documentation and tax reports.
  • Assist clients with payroll-related financial reporting.

Payroll System Administration

  • Maintain payroll master data and employee records.
  • Configure payroll system updates where applicable.
  • Verify payroll system calculations and troubleshoot payroll discrepancies.
  • Assist with payroll system implementation, testing, and process improvements.

Process Improvement

  • Identify opportunities to improve payroll accuracy and operational efficiency.
  • Recommend automation and workflow enhancements.
  • Develop and maintain payroll Standard Operating Procedures (SOPs).
  • Participate in payroll transformation and digitalisation initiatives.

Qualifications

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Accounting, Finance, or a related discipline.
  • Minimum 3–5 years of payroll processing experience.
  • At least 2 years of experience processing payroll for both Malaysia and Singapore is preferred.
  • Experience in a payroll outsourcing, shared services, BPO, or payroll service provider environment is highly desirable.

Pay: RM5,000.00 - RM5,600.00 per month
