Reports To : Administration & Human Resource Executive / Human Resource Manager

Job Summary

The Admin & Human Resource Assistant provides administrative and human resource support to ensure the smooth operation of the office and effective management of employees. The role includes maintaining employee records, assisting with recruitment, onboarding, attendance administration, payroll preparation, training coordination, and general office administration while ensuring compliance with company policies and Malaysian labour laws.

Key Responsibilities Human Resource Administration

  • Maintain and update employee personal files and HR records.
  • Prepare employment contracts, confirmation letters, transfer letters, warning letters, and other HR-related documents.
  • Assist in recruitment activities, including job postings, interview scheduling, and candidate coordination.
  • Coordinate onboarding and orientation for new employees.
  • Maintain employee attendance, leave, overtime, and absenteeism records.
  • Assist in preparing payroll information by ensuring employee records are accurate and up to date.
  • Monitor employee probation periods and contract renewal dates.
  • Maintain training records and coordinate internal and external training programmes.
  • Ensure employee licences, certifications, and permits remain valid and up to date.
  • Assist with employee welfare programmes and engagement activities.

Administrative Support

  • Perform daily administrative and clerical duties.
  • Manage incoming and outgoing correspondence, emails, and courier services.
  • Prepare letters, reports, forms, and meeting minutes.
  • Organize and maintain filing systems for both physical and electronic documents.
  • Monitor office stationery and supplies and coordinate replenishment.
  • Arrange meetings, appointments, and travel arrangements when required.
  • Maintain office equipment and coordinate maintenance with service providers.

Recruitment & Staffing

  • Advertise job vacancies through appropriate recruitment platforms.
  • Screen resumes and arrange interviews.
  • Prepare onboarding documentation for new hires.
  • Coordinate pre-employment documentation and reference checks.
  • Support manpower planning and recruitment activities with department heads.

Compliance

  • Ensure compliance with the Employment Act 1955, company policies, and other applicable labour regulations.
  • Maintain confidentiality of employee and company information.
  • Assist in maintaining statutory records and documentation required by government authorities.
  • Support HR audits and ensure HR documentation is complete and accurate.

Key Performance Indicators (KPIs)

  • Accuracy and completeness of employee records.
  • Timely preparation of HR and administrative documents.
  • Recruitment and onboarding efficiency.
  • Payroll data accuracy and submission timeliness.
  • Compliance with statutory and company requirements.
  • Employee file maintenance and documentation accuracy.
  • Responsiveness to employee and management requests.

Qualifications

  • Minimum Bachelor's Degree in Human Resource Management, Business Administration, Office Management, or a related field.

Experience

  • Minimum 6 months of experience in Human Resources or Administration.

Pay: RM2,300.00 - RM2,500.00 per month

Work Location: In person
