Job Summary
The Operations Assistant provides administrative and operational support to the Operations Department to ensure the efficient delivery of security services. The role involves coordinating manpower deployment, maintaining operational records, assisting with staff scheduling, preparing reports, handling documentation, and supporting day-to-day operational activities.
Key Responsibilities Operational Support
- Assist the Operations Executive and Operations Manager in the daily management of security operations.
- Coordinate with site supervisors to ensure adequate manpower deployment.
- Monitor daily attendance and report absenteeism, late arrivals, and manpower shortages.
- Assist in arranging replacement personnel for emergency or last-minute vacancies.
- Support the mobilization of new security sites.
Administration & Documentation
- Maintain and update operational files, site records, and employee deployment records.
- Prepare daily, weekly, and monthly operational reports.
- Maintain guard attendance, leave, overtime, and roster records.
- Ensure all operational documents are properly filed and easily accessible.
- Assist in preparing client correspondence and operational documentation.
Staff Coordination
- Communicate operational instructions to Security Supervisors and Security Guards.
- Coordinate staff scheduling and deployment based on operational requirements.
- Assist in monitoring staff performance and attendance.
- Maintain updated contact lists of all operational personnel.
Client Support
- Assist in responding to client enquiries and operational requests.
- Record and follow up on client complaints or feedback.
- Arrange meetings and site visits when required.
- Ensure timely communication between clients and the Operations Department.
Incident & Reporting
- Assist in collecting incident reports from sites.
- Compile incident records and submit reports to management.
- Ensure all incidents are documented accurately and filed accordingly.
- Follow up on corrective actions as instructed by management.
Logistics & Equipment
- Maintain inventory records of uniforms, access cards, keys, radios, patrol devices, and other operational equipment.
- Coordinate the issuance and return of company property.
- Report damaged or missing equipment to the Operations Executive.
Compliance
- Ensure operational records comply with company policies and Standard Operating Procedures (SOPs).
- Support compliance with client requirements and Ministry of Home Affairs (KDN) regulations.
- Assist in maintaining training records, licences, and other operational documentation.
Key Performance Indicators (KPIs)
- Accuracy of operational documentation.
- Timely preparation and submission of reports.
- Manpower deployment accuracy.
- Response time in resolving operational issues.
- Attendance record accuracy.
- Client support responsiveness.
- Proper maintenance of operational records and inventory.
Qualifications
Experience
- Minimum 6 months of administrative or operational experience.
Pay: RM2,300.00 - RM2,500.00 per month
