Job Summary

The Retail Administration is responsible for providing comprehensive administrative and operational support to the Retail Operations Department to ensure the smooth functioning of retail stores nationwide. This role manages store documentation, operational agreements, compliance records, inventory coordination, business licensing, promotional communications, and administrative reporting. The incumbent will work closely with District Managers, Store Managers, Warehouse, Finance, Human Resources, Merchandising, and external stakeholders to support retail business operations effectively.

Job Responsibilities
Retail Operations Administration
  • Manage and maintain store operational records, databases, agreements, and documentation.

  • Prepare, update, distribute, and archive operational agreements, approval documents, and store-related records.

  • Maintain and update store information, Store Manager records, store codes, and operational data in internal systems.

  • Prepare operational reports, trackers, and administrative records for management review and audit purposes.

  • Ensure proper filing and document control practices are maintained across all retail operational documentation.

Store Operations Support
  • Liaise with District Managers and Store Managers on operational matters, documentation requirements, and administrative support.

  • Coordinate store opening, relocation, renovation, closure, and pop-up store documentation and administrative processes.

  • Assist in managing store listings, operational records, and retail support documentation.

  • Support operational initiatives and projects to ensure smooth execution across retail stores nationwide.

Compliance & Licensing Management
  • Coordinate the application, renewal, and maintenance of business licences, sales licences, signboard licences, and related regulatory permits.

  • Maintain compliance trackers and ensure all statutory documents remain valid and up to date.

  • Coordinate with local authorities, landlords, and relevant agencies regarding licensing requirements.

  • Ensure accurate filing and record keeping of compliance-related documents and submissions.

Inventory, Uniform & Stationery Coordination
  • Manage uniform ordering, distribution, and inventory records for retail employees.

  • Coordinate stationery requests and distribution for stores nationwide.

  • Monitor inventory levels of operational supplies and retail support materials.

  • Liaise with warehouse personnel, suppliers, and logistics providers regarding stock replenishment and delivery arrangements.

Promotions & Communication
  • Prepare and distribute operational circulars, promotional announcements, incentive communications, and business updates.

  • Coordinate communication between Head Office, District Managers, and Store Managers.

  • Ensure timely dissemination of operational information and promotional activities to retail stores.

Financial & Administrative Support
  • Support attendance tracking and allowance administration for trainees, temporary staff, and retail personnel.

  • Prepare and process Purchase Requisitions (PR), Purchase Orders (PO), and related supporting documents.

  • Coordinate invoice collection and documentation for payment processing.

  • Assist in maintaining operational expense records and administrative documentation.

Travel & Event Coordination
  • Arrange travel bookings, accommodation, transportation, and logistics for business activities and meetings.

  • Support warehouse sales, retail campaigns, training programmes, meetings, and company events.

  • Coordinate administrative arrangements for operational meetings, workshops, and business activities.

Reporting & Audit Support
  • Maintain operational reports, compliance trackers, insurance listings, signboard records, and agreement expiry schedules.

  • Monitor contract renewal dates and ensure timely follow-up actions.

  • Support internal and external audits by ensuring documentation is accurate, complete, and readily available.

  • Prepare periodic reports and summaries required by Retail Operations Management.

General Administrative Duties
  • Manage filing systems, document storage areas, and operational records.

  • Prepare courier, shipment, and delivery documentation when required.

  • Perform data entry, report preparation, document processing, and administrative tasks.

  • Undertake ad-hoc assignments and special projects as assigned by Management.

Job Requirements
  • Diploma or Bachelor's Degree in Business Administration, Retail Management, Management, Supply Chain, Logistics, Finance, or related disciplines.

  • Minimum 1–3 years of experience in administration, retail operations support, or a related function.

  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.

  • Strong organizational, coordination, and documentation management skills.

  • Good communication and interpersonal skills with the ability to work with various stakeholders.

  • Strong attention to detail and ability to manage multiple priorities simultaneously.

  • Able to work independently and in a fast-paced retail environment.

  • Experience in retail administration, licensing management, or operational support will be an added advantage.
