Key Responsibilities

1. HR Administration and Documentation

  • Maintain and update employee personal files and HR records.

  • Prepare employment letters, confirmation letters, warning letters, memos, notices and other HR documents.

  • Ensure all HR documents are properly filed, updated and kept confidential.

  • Assist in preparing HR reports, attendance reports, manpower records and employee movement records.

  • Support the implementation and maintenance of HR forms, checklists and internal documentation.

2. Recruitment and Onboarding

  • Assist in recruitment activities including job posting, candidate screening, interview arrangement and follow-up.

  • Coordinate with hiring managers or department heads on manpower requirements.

  • Support onboarding for new employees, including document collection, orientation and briefing.

  • Ensure new employees understand company rules, attendance requirements, reporting lines and basic workplace expectations.

  • Assist in preparing onboarding checklists and employee induction materials.

3. Attendance, Leave and Discipline Support

  • Monitor employee attendance, leave records, lateness, absenteeism and related issues.

  • Assist in handling attendance irregularities and follow up with employees or supervisors.

  • Prepare records and supporting documents for disciplinary matters when required.

  • Assist in issuing reminders, counselling records, warning letters or show cause letters under management instruction.

  • Support the company in maintaining workplace discipline, proper procedures and fair documentation.

4. Payroll and Statutory Support

  • Assist in compiling attendance, overtime, leave and payroll-related information.

  • Coordinate with payroll personnel or management to ensure accurate monthly payroll data.

  • Support statutory-related documentation and records where required.

  • Ensure payroll-related information is submitted within deadlines.

5. HR Policy, SOP and Compliance

  • Assist in implementing HR policies, employee handbook, company rules and SOPs.

  • Help communicate HR procedures to employees and departments.

  • Monitor compliance with company policies and employment requirements.

  • Assist in reviewing and improving HR processes from time to time.

  • Support management in building a more organised and compliant HR system.

6. Employee Relations and Communication

  • Act as a point of contact for employee HR-related enquiries.

  • Support communication between management and employees.

  • Assist in handling employee feedback, workplace issues and basic counselling.

  • Promote a positive, respectful and professional working environment.

  • Encourage employees to follow company procedures and work responsibly.

7. Training and Performance Support

  • Assist in coordinating employee training, briefing and development activities.

  • Help maintain training records and related documentation.

  • Support performance review preparation and follow-up.

  • Assist in monitoring probation, confirmation and performance-related matters.

  • Help ensure employees understand their job responsibilities and work expectations.

8. General HR and Management Support

  • Assist the management in HR projects and company improvement initiatives.

  • Support internal audits, compliance checks and documentation reviews when required.

  • Work closely with operations, workshop, fleet and administrative teams.

  • Perform any other HR or administrative duties assigned by the management.

9. Any ad hoc task as assigned by superior
