Job description:

JOB PURPOSE
The Business Operations Executive is responsible for supporting overall company operations across multiple departments including administration, finance coordination, payment follow-up, documentation control, and internal operational support. This role acts as a key operational support function to ensure smooth workflow between departments, strict compliance with company SOP, and efficient execution of daily business activities.

KEY RESPONSIBILITIES

1. GENERAL OPERATIONS SUPPORT Support daily business operations across all departments (office and site coordination support). Assist in ensuring smooth workflow between administration, finance, HR, and project teams. Coordinate operational tasks as assigned by management. Ensure all operational instructions from management are properly executed and followed up.

2. ADMINISTRATIVE SUPPORT Handle general administrative tasks including filing, documentation, and record keeping. Prepare letters, memos, forms, and internal documents as required. Manage office supplies, stationery, and basic operational needs. Support internal communication between departments.

3. PAYMENT & DOCUMENT FOLLOW-UP Assist in monitoring and following up on payment-related documentation. Coordinate with finance/admin team for invoice submission, payment status, and verification process. Follow up outstanding documents from staff, vendors, and project teams. Ensure all supporting documents are complete before submission for approval/payment.

4. CLAIM & SUPPORTING DOCUMENT CONTROL Assist in collecting, verifying, and organizing staff claim documents. Ensure claims submitted are complete and comply with company SOP. Follow up with staff for missing or incorrect claim submissions. Maintain proper filing system for all claim records.

5. INTER-DEPARTMENT COORDINATION Act as communication support between departments for operational matters. Assist in ensuring instructions from management are properly relayed and executed. Coordinate with site and office teams when required for operational updates.

DISCIPLINE & ACCOUNTABILITY Must ensure strict confidentiality of company information at all times. Must follow company SOP and instructions from management without deviation. Any negligence in documentation, follow-up, or operational coordination may result in disciplinary action. Must maintain accuracy, responsibility, and discipline in all assigned tasks.
