Responsibilities

GENERAL DESCRIPTION

Performs overall administration duties and any other job-related duties not specified in this job description when assigned by immediate supervisor.

JOB DESCRIPTION

ORGANIZATION AND MANAGEMENT

1.Understands and carries out the nursing care in line with Vision and Mission Statements, Philosophy, Goals and Objectives that suit the scope of the Nursing Services and hospital.

2.Understands the service organization structure.

3.Inform Nurse-In-Charge or Unit Manager when changes occur in circumstances which affect standards of care.

4.Attends meetings held by the services to discuss issues and matters pertaining to the operation of the service.

5.Daily routine:

  • To check and key in all detail items tagged/charged
  • To be responsible for obtaining all charge forms from various services
  • Responsible for the bed reservations, bed update status and clearance in BMS system.
  • Update in consignment item and charging accordingly

6.Answers phone calls and relay messages.

7.Assists the qualified staff in the following:

  • Assist nursing staff with clerical work eg. Admission, discharges and transfer of patients, filing results
  • Dispatch investigation forms, specimens, discharged case notes, bills, birth/death notification etc. to respective services
  • Communicate with other services such as admission and discharge offices.
  • Prepare requisition for supplies to be signed by Unit Manager and dispatch to Purchasing Service before storing in ward store.
  • Update night admission or discharge census for the ward in the morning.
  • Ensure that patient charge slips are appropriately filled and keyed in before sending for billing.
  • Ensure patient’s case note filed in sequence before despatch to Medical Records

ADDITIONAL DUTIES AND RESPONSIBILITIES IN THE SPECIFIC AREAS ( OT WARD CLERK

1.To monitor Ot consignment closely and charge accordingly

2.Any other duties as directed by the Unit Manager / SRN in charge.

ADDITIONAL DUTIES – WARD CLERK INCHARGE

1.To orientates and train new ward clerk.

2.To prepare a roster for the ward clerk.

3.To supervise ward clerks in the daily work.

4.Provide guidance and counselling to staff if needed.

5.Organized regular ward clerk meeting

6.Assist in ensuring nursing services orders for supplies are carried out monthly.

7.To assist Unit Manager/Trained Staff in Checking or recording request forms for repairs to Maintenance and Housekeeping Departments

8.Accurately entering daily charges, ensuring that all items used are billed. 9.Assist in attending to any queries from patients and relatives.

10.Assist in collecting monthly statistics on patient census.

11.Responsible for directing supervising and training of ward clerks concerning admission, discharges, follows-up appointments, stationary indent and the reporting of ward repairs maintenance.

12.Guide staff in solving patient complaints using appropriate communication channels.

JOB REQUIREMENT

  Education:

  • Sijil Pelajaran Malaysia

Knowledge and Experiences:

  • Proficient in Information Technology and Computer skill
  • Report writing

Special skills required

  • Good communication and writing skills in Bahasa Malaysia and English

  • Have interpersonal and communication skills.
  • Good team member and responsible worker
  • Willingness to work after office hours/weekends/public holidays when required. Passionate and commitment to work with multidisciplinary team
