JOB PURPOSE
The Pharmacy Assistant supports the daily operations of the pharmacy by assisting with medication dispensing, inventory management, stock control, and administrative duties. The role ensures that medications and consumables required for fertility treatments are accurately prepared, stored, and supplied while maintaining compliance with Ministry of Health (MOH) regulations, clinic policies, and patient safety standards.
As a Pharmacy Assistant in a fertility centre, the role requires close collaboration with doctors, nurses, embryologists, and administrative staff to ensure patients receive timely and accurate medications throughout their fertility treatment journey.
DUTIES
Medication Dispensing Support
- Assist in preparing and dispensing medications according to prescriptions.
- Label and package medications accurately.
- Prepare medications and consumables required for fertility procedures.
- Ensure medication collection is organised and ready before patient appointments.
- Maintain patient confidentiality at all times.
Inventory & Stock Management
- Monitor stock levels of medications, and consumables.
- Perform daily and monthly stock counts.
- Ensure adequate inventory to prevent stock shortages.
- Receive, inspect, and record incoming pharmaceutical supplies.
- Rotate stock using First-In-First-Out (FIFO) principles.
- Identify and remove expired or damaged medications.
Cold Chain Management
- Monitor refrigerator temperatures daily.
- Ensure medications requiring cold chain storage are maintained within recommended temperature ranges.
- Record temperature logs accurately.
- Escalate any temperature excursions immediately.
Pharmacy Administration
- Maintain accurate medication records.
- Assist in processing purchase orders and supplier invoices.
- Update inventory management systems.
- Prepare monthly stock usage reports.
- File pharmacy documentation according to regulatory requirements.
Patient Support
- Assist in explaining basic medication handling instructions as directed by the pharmacist.
- Guide patients on medication collection procedures.
- Ensure patients receive the correct medications before leaving the clinic.
- Respond professionally to general medication-related enquiries and refer clinical questions to the pharmacist or doctor.
Quality & Safety
- Maintain cleanliness and organisation of the pharmacy.
- Follow infection prevention and control policies.
- Comply with medication storage requirements and regulatory standards.
- Participate in internal audits and quality improvement initiatives.
- Report medication discrepancies or incidents promptly.
Support for Fertility Treatment Services
- Prepare medications required for:
- Ovulation induction
- Controlled ovarian stimulation
- Intrauterine Insemination (IUI)
- In Vitro Fertilisation (IVF)
- Intracytoplasmic Sperm Injection (ICSI)
- Frozen Embryo Transfer (FET)
- Luteal phase support
- Coordinate medication availability with the doctors and nursing teams.
- Ensure emergency medications are adequately stocked.
REQUIREMENTS
Qualifications
- Diploma or Certificate in Pharmacy or Pharmacy Assistant qualification recognised in Malaysia.
- Previous experience in a hospital, fertility centre, or retail pharmacy is an advantage.
- Fresh graduates may be considered.

WORKING ENVIRONMENT
The Pharmacy Assistant works primarily within the pharmacy and clinical areas of the fertility centre. The role requires prolonged standing, handling pharmaceutical products, maintaining accurate records, and supporting clinical operations to ensure uninterrupted patient care.
Pay: RM3,000.00 - RM4,000.00 per month
