Your Role & Responsibilities

To provide professional customer service and project coordination for local and international publishing clients by ensuring timely communication, accurate order processing, production follow-up, and successful delivery of printed products.

Key Responsibilities
1. Customer Relationship Management

• Serve as the primary contact for assigned publisher accounts.
• Build long-term relationships with local and overseas publishers.
• Respond promptly to enquiries, quotations, and order updates.
• Understand each publisher's requirements, specifications, and expectations.

2. Order Processing

• Receive and verify purchase orders.
• Prepare job orders and enter information into the ERP/MIS system.
• Confirm specifications including:
• Trim size
• Quantity
• Paper
• Binding
• Finishing
• Packing requirements
• Delivery instructions
• Ensure all documentation is complete before production begins.

3. Production Coordination

Liaise with:

• Sales
• Prepress
• Production Planning
• Printing
• Binding
• Quality Control
• Monitor production schedules.
• Follow up on milestones and deadlines.
• Escalate any issues that may affect delivery.

4. Artwork & File Coordination

• Coordinate receipt of artwork files.
• Check that files are complete before forwarding to prepress.
• Track proof approvals.
• Maintain version control of files and revisions.

5. Shipping & Logistics

• Coordinate local deliveries and export shipments.
• Prepare shipping instructions.
• Work closely with freight forwarders and logistics providers.
• Ensure shipping documents are accurate.
• Update customers on shipment status.

6. Communication

• Provide regular project updates.
• Communicate delays proactively.
• Arrange online meetings when required.
• Maintain professional written communication with international clients across different time zones.

7. Documentation

• Maintain complete job records.
• Archive correspondence.
• Track approvals and amendments.
• Prepare weekly project status reports.

8. Complaint & Issue Resolution

• Receive customer feedback and complaints.
• Coordinate investigations with relevant departments.
• Recommend corrective actions.
• Ensure timely resolution and follow-up.

9. Commercial Support

• Assist Sales with:
• Quotations
• Sample requests
• Cost clarifications
• Tender documentation
• Support repeat orders and account growth.

10. Continuous Improvement

• Suggest improvements to customer service processes.
• Develop standard operating procedures (SOPs).
• Help improve response times and customer satisfaction.

What We’re Looking For

Education: Bachelor’s degree in related field.
Experience: 1-3 years in Customer Service field. (Fresh graduates with relevant internships are welcome to apply!)
Skills: Strong analytical thinking, problem-solving, and negotiation skills.
Mindset: Proactive, detail-oriented, and able to work independently and in a team.
Communication: Excellent interpersonal and communication skills to collaborate effectively.
