Job Purpose
To provide operational, system and administrative support to the Key Account team in managing day-to-day account operations, order processing, budget administration, claims submission and sales tracking.The role requires a detail-oriented and systematic individual who is comfortable working with data, Excel and internal systems to ensure accuracy and timely execution of Key Account activities.

Key Responsibilities
1. Order Processing & Operational Support
- Assist in the order key-in and order processing activities for Key Account customers.
- Ensure orders and relevant information are accurately captured in the system.
- Coordinate with the Key Account team and relevant departments to follow up on order-related matters.
2. Budget Administration
- Assist in the issuance and key-in of approved promotional and trade budgets into the internal system.
- Maintain proper records and tracking of budget utilisation.
- Support the Key Account team in checking and verifying basic budget information.
3. Sales Tracking & Basic Data Analysis
- Assist in tracking Key Account sales performance and other relevant account data.
- Perform basic data matching, consolidation and analysis using Microsoft Excel.
- Prepare basic sales and performance reports for the Key Account team.
- Highlight discrepancies or irregularities identified during data checking.
4. Claims & Administrative Support
- Assist in the preparation and submission of customer claims and supporting documents.
- Ensure all required documents are complete and properly maintained for submission.
- Follow up on claim documentation and outstanding administrative matters.
- Maintain proper filing and records for Key Account activities.
Requirements
- Diploma or Degree in Business Administration, Business Management, Sales, Marketing, Finance or related field.
- 1–3 years of experience in Sales Administration, Sales Operations, Key Account Support or Commercial Operations is preferred.
- FMCG or retail industry experience will be an added advantage.
- This role is suitable for candidates who are comfortable working with numbers, Excel, systems and detailed operational processes.
Skills
- Basic to intermediate proficiency in Microsoft Excel.
- Able to use VLOOKUP/XLOOKUP and Pivot Tables for data matching, consolidation and basic analysis.
- Good computer literacy and comfortable learning internal systems and databases.
- Strong attention to detail and accuracy when handling data, budgets and documentation.
- Systematic, organised and able to follow established processes and SOPs.
- Able to manage multiple administrative and operational tasks within the required timeline.
- Willing to learn and undergo training on internal ordering and budget systems.
