Overall Job Function:
- Coordinate and manage daily web-to-print orders.
- Ensure timely processing, accuracy, and smooth handover of online orders to the production team.
- Monitor and maintain the system to reflect accurate job status and information.
- Liaise between the customer service, design/prepress, and production teams to ensure seamless workflow.
- Ensure consistent product listing quality, stock syncing, and customer satisfaction across web-to-print channels.
- Support product listing maintenance and perform basic marketing activities for Shopee, Instagram, and OnPrintShop.
Duties s Responsibilities:Online Order s File Management
- Review and verify all new orders and online marketplaces.
- Confirm artwork file types (PDF and AI only) and ensure specifications match.
- Open job dockets promptly, assign based on urgency, and escalate missing or unclear info to the design or customer service team.
System accuracy s Job Tracking
- Ensure job statuses are updated accurately by relevant operators.
- Confirm dockets are created, printed, and included with every order.
- Coordinate closely with the digital production lead to track progress and ensure timely job completion.
Packing, Shipping s Shopee Metrics
- Prepare and pack completed orders for courier handover.
- Ensure same-day or next-day shipping, accurate label generation, tracking updates, and performance aligned with law rules regulations (e.g., Late Shipment Rate, Chat Response Time).
- Monitor delivery issues, returns, and maintain a minimum shop rating of 4.8.
Internal Coordination s Communication
- Act as a liaison between customer service, prepress, and production lead.
- Communicate job status updates, delays, and special requests clearly.
- Support customer service with order clarifications and ETAs as needed.
Quality Control, Marketing Support s Process Improvement
- Monitor recurring order issues and propose listing or workflow improvements.
- Ensure printed jobs match online order specifications.
- Assist in content updates and schedule .
- Report basic marketing engagement metrics and help maintain SOPs for operational consistency
Requirements
- Minimum Higher Diploma/ Degree in related field
- Strong logical reasoning, attention to detail, and high accuracy.
- Good communication and coordination skills.
- Ability to work independently with minimal supervision.
- Strong sense of responsibility and problem-solving ability.
