Key Responsibilities
- Attentive and ensure all non-employees that entering to HQ are attended.
- Welcome visitors & guests, ensure registration process for visitors & guests are followed. Direct & announce them to the respective intended recipients.
- Answer and forward the phone calls to the intended recipients.
- Receiving & sorting mails and parcels. Ensure the mails & parcels are recorded in the log book and distributed to the intended recipients precisely.
- Upkeep the tidiness of reception and ensure it is presentable at all time.
- Control the usage of meeting rooms by:
> Reserve the meeting rooms whenever receive request in the Meeting Room Booking Sheet.
> Upkeep the meeting rooms tidiness and always ready for next users at all time.
> Ensure the meeting rooms lights & air-con are switched off whenever not in use.
- Compile purchase requests for stationary & pantry items from all departments and submit monthly to purchasing.
- Registration and renewal of port pass (PKFZ, Westport, Northport) for employees.
- Liaise with port authority on port pass application or renewal.
- Assist registration of PKFZ visitor pass for customers and/or vendors.Welcome and assist visitors in a professional and friendly manner
- Provide other basic administrative support when required.
- Assist with other duties as assigned by the Management from time to time.
