JOB SUMMARY
The Purchasing Executive is responsible for managing the Company's procurement activities to ensure the timely, cost-effective and efficient purchase of goods, materials and services required for the operations of ITCC Mall and its related business units. The role ensures all purchases comply with the Company's procurement policies, approved budgets and internal approval procedures while maintaining strong relationships with suppliers and service providers.
Procurement Management
- Source, evaluate and procure goods, materials, equipment and services required by all departments.
- Ensure all purchases are supported by an approved Purchase Requisition (PR) before processing.
- Obtain competitive quotations from suppliers in accordance with the Company's procurement policy.
- Prepare Purchase Orders (PO) accurately and ensure timely issuance to suppliers.
- Monitor the entire procurement process from requisition to delivery.
- Ensure purchases are made within approved budgets and delegated authority.
Supplier & Vendor Management
- Source and develop reliable suppliers and service providers.
- Evaluate suppliers based on price, quality, delivery performance and after-sales service.
- Negotiate pricing, payment terms, warranties and delivery schedules.
- Maintain updated supplier and vendor records.
- Conduct periodic supplier performance evaluations.
- Resolve supplier-related issues and disputes professionally.
Cost Control & Budget Management
- Obtain the best value for money while maintaining quality standards.
- Identify opportunities for cost savings and process improvements.
- Monitor departmental purchasing against approved budgets.
- Recommend alternative products or suppliers where appropriate.
- Prepare cost comparison analyses for Management's review.
Inventory & Stock Control
- Monitor stock levels of office supplies, maintenance materials, housekeeping consumables and operational inventories.
- Coordinate with departments to maintain optimum inventory levels.
- Prevent overstocking or stock shortages.
- Assist in stock-taking and inventory verification exercises.
- Ensure proper documentation of inventory movements.
Delivery Coordination
- Monitor supplier delivery schedules to ensure timely delivery.
- Verify delivered goods against Purchase Orders and Delivery Orders.
- Coordinate with requesting departments regarding receipt of goods.
- Ensure discrepancies or damaged items are resolved promptly.
- Follow up on delayed deliveries.
Documentation & Record Management
- Maintain accurate procurement records, quotations, Purchase Requisitions (PR), Purchase Orders (PO), invoices and supplier agreements.
- Ensure all procurement documentation is properly filed and readily available for audit purposes.
- Prepare procurement reports as required by Management.
- Maintain confidentiality of procurement information.
Compliance & Governance
- Ensure all procurement activities comply with the Company's purchasing policies and approval procedures.
- Ensure procurement activities comply with applicable legal and regulatory requirements.
- Avoid conflicts of interest and maintain ethical procurement practices.
- Support internal and external audit requirements relating to procurement.
Interdepartmental Support
- Liaise with all departments regarding purchasing requirements.
- Provide procurement advice and product recommendations where appropriate.
- Coordinate urgent purchases during operational emergencies.
- Support new projects, renovations, promotional events and business expansion initiatives.
QUALIFICATIONS & EXPERIENCE
- Diploma or Bachelor's Degree in Business Administration, Purchasing, Supply Chain Management, Logistics or a related field.
- Minimum 2–3 years of experience in purchasing or procurement.
- Experience in shopping malls, property management, hospitality or commercial operations is an advantage.
- Good negotiation and vendor management skills.
- Strong analytical and cost control abilities.
- Proficient in Microsoft Office applications, particularly Excel.
- Experience with procurement or ERP systems is an advantage.
- Good communication, organizational and interpersonal skills.
- Able to work independently and manage multiple priorities.
Pay: From RM2,500.00 per month
