About the Role
Contract Administration of both third-party vendor and internal contracts throughout the contract lifecycle from pre-contract signing to contract renewal and termination.
This includes tasks and activities relating to support for contracting administration strategy, contract set-up, and the ongoing administration to drive increased value from vendors and reduce risk.
Key Responsibilities
· Follow the Group Technology IT Contract Management Guidelines (“SOP”) including associated process flows for all new and existing contracts.
· Key responsibilities include:
§ Logging new requests and tracking to closure in the respective project trackers/pipelines to assist the Contract Managers;
§ Managing the contract expiry pipeline and making updates where required;
§ Sharing existing contracts when requested by stakeholders;
§ Sharing contract-related artefacts when requested by stakeholders;
§ Performing simple drafting using templates, i.e. adding or verifying entity names and addresses, signatory names, with a goal of advancing to more complex drafting;
§ Managing contract signing activities between third-party vendors and us;
§ Identifying existing contracts within the contract library that can be leveraged;
§ Uploading contract and supporting documents to contract library and vendor performance systems;
§ Advising stakeholders on contract process-related questions;
§ Communications to stakeholders on changes, requirements, or seeking approvals.
o Support managing the contract:
§ Ensuring the contract library is maintained and there are no expired contracts by utilising the Contract Expiry Tracker;
§ Generating reports on upcoming contract renewals;
§ Maintain the supplier contact database with emails and other contact details;
§ Storing key contract-related artifacts once a contract has been signed, or throughout the life of a contract;
§ Assisting with contract stamping requirements for contracts used in Malaysia;
§ Assisting with remediation tasks related to contracts.
· Support development of best practice processes, templates and guidance documents and advise stakeholders on the processes, templates and documents.
Drive continuous improvement in administering and managing both contracts and vendors.
Requirements
Qualifications
· Accuracy and completeness of the contract library
· Accuracy and completeness of the project trackers/pipelines
· Assisting with the renewal of contracts in a timely manner – i.e. before expiry;
Processing metrics – e.g. time taken for certain processes, volume of contracts.
Skills & Competencies
· Education –
o University graduate.
· Experience –
o Minimum 3 years of administrative work experience;
o Experience in:
§ Contract Management or Procurement, preferably in IT Sector; and Financial Services an advantage.
· Special skills
o Strong communication and interpersonal skills;
o Ability to work in dynamic environment;
o Strong organisation skills;
o Strong analytical skills;
o Detail oriented;
o Ability to understand basic contract principles;
o Project delivery focus; and
Ability to liaise within cross functional teams.
· No specific supervisory/managerial responsibilities.
This role reports to the Associate Director, Vendor Performance Management and IT Governance, with tasks and projects on the ground assigned by the Senior Manager, Contract Management.
Pay: RM5,000.00 - RM6,700.00 per month
